POSITION OVERVIEW

The Fleet Parts Specialist is tasked with overseeing the inventory of parts, supplies, and materials within Central Stores.

This role involves establishing relationships and setting up accounts with various suppliers, ensuring timely payments to all vendors, maintaining an organized and safe parts storage area, updating internal inventory management systems, and accurately tracking stock levels. The specialist will also monitor fuel and oil inventory, collaborate with technicians and the shop supervisor to ensure availability of necessary parts and tools for repairs, and retrieve parts and supplies as required.

DUTIES AND RESPONSIBILITIES

Fleet Parts Specialist I & II

The following responsibilities are not exhaustive and may be adjusted as needed.

Key Responsibilities
  • Provides daily operational assistance to Central Stores clients and offers after-hours support during emergencies.
  • Procures equipment, parts, and materials essential for servicing and repairing fleet equipment, obtaining both verbal and written price estimates from suppliers.
  • Collects parts from external vendors for fleet operations and Central Stores.
  • Receives, organizes, and distributes a variety of parts, supplies, and materials from Central Stores to various departments daily.
  • Monitors materials issued against work orders for accuracy.
  • Reviews incoming orders for completeness and damage, pricing and shelving inventory items appropriately.
  • Conducts daily and monthly readings of fuel pumps and maintains inventory records in compliance with state regulations.
  • Identifies obsolete parts for auction and returns unused parts to vendors, while restocking items for new fleet additions.
  • Reconciles purchasing card statements for Central Stores and three Fleet Division personnel.
  • Generates necessary reports for Central Stores operations (parts issued, reorder levels, etc.).
  • Coordinates and executes physical inventory counts for Central Stores.
  • Transports city vehicles for warranty and repair tasks.
  • Maintains catalogs of Safety Data Sheets for all hazardous materials processed through Central Stores and the shop.
  • Possesses the ability to perform mechanical tasks in the fleet shop as required.
  • Available for on-call duties as necessary.
ADDITIONAL DUTIES
  • Performs other assigned tasks as required.
EDUCATION AND TRAINING

Fleet Parts Specialist I
  • Education: High school diploma or GED.
  • Experience: 2 years in the automotive parts sector.
  • Driver's License Requirement: Valid Class B Commercial Driver's License within one year of hire.
Fleet Parts Specialist II
  • Education: Graduation from an automotive repair trade school is preferred.
  • Experience: 5 years in the automotive parts sector, with government fleet experience preferred.
  • Certifications: ASE Certification - Parts and Class A, B & C underground storage tank operator preferred.
  • Driver's License Requirement: Valid Class B Commercial Driver's License within one year of hire.
Equivalent combinations of education, training, and relevant experience may be considered.

KNOWLEDGE, SKILLS, AND ABILITIES

Knowledge

Proficient understanding of:
  • Automotive and heavy-duty equipment parts and components.
  • Inventory management, including procurement, pricing, shipping, and payment processes.
  • Fleetio Software.
  • Faster Software.
  • FuelMaster.
  • Microsoft Office Suite.
Skills and Abilities

Communication: Strong interpersonal skills necessary for vendor and city employee interactions. Proficient in operating a two-way radio.

Analytical: Strong mathematical skills required for evaluating part quotes.

Mechanical: Proficient in using measuring tools such as rulers, tape measures, calipers, and thread gauges.

Must be capable of operating a forklift and electric hoist.

WORKING ENVIRONMENT AND PHYSICAL DEMANDS

Work is primarily conducted inside the city's garage, with occasional outdoor tasks. The role involves proximity to moving mechanical parts and exposure to fumes, airborne particles, and various chemicals, some of which may be hazardous. Employees may encounter noisy, hot, and cold conditions.

COMPENSATION

Fleet Parts Specialist I: $29.62 per hour

Fleet Parts Specialist II: $33.47 per hour
