Marketing Procurement Coordinator

We are seeking a highly organized and detail-oriented Marketing Procurement Administrator to join our team at Heaven Hill Brands. This role will be responsible for leading the day-to-day processing and management of all invoicing, purchase orders, inventory management, and customer orders for their assigned brand group.
The ideal candidate will have a strong understanding of procurement processes and be able to work collaboratively with cross-functional teams to develop strong relationships and maintain efficient end-to-end processes.
Key Responsibilities:
- Lead tracking, analysis, and reporting on inventory and usage for point of sale (POS) items on the company's Sales Resource Sites
- Audit Sales Resource Sites to ensure items are showing correctly and setup on time, working with site developers directly
- Create Purchase Orders (PO) in the company's ERP system for new POS orders and reorders with direction from the MPS Team
- Manage invoicing, billing, tracking, and receiving for new inventory items, including entering PO receipts in the fulfillment company system and making sure items are activated on all sites once received
- Work directly with external fulfillment companies and site developers regarding ongoing site maintenance and issues
- Lead Sales Resource Site maintenance through review of content, including upload of all images and information to specifications
- Upload brand artwork to the digital asset management system and pull down any artwork as requested
- Collaborate with the Sales Planning team to assist with market-level allocations for allocated products, POS, and displays
- Manage orders with various suppliers, including order status, samples, delivery timelines, and purchase orders
- Provide content needed for Display Allocation Process
- Assist with Pack Outs and Special Events as needed
- Any additional administrative and reporting needs for the broader marketing procurement team
Requirements:
- High school diploma or GED equivalent required; Bachelor's degree preferred
- Minimum 1 year of marketing administrative experience required; relevant internship experience is acceptable
- Proficient computer skills with experience in Microsoft Office products, including Word, Excel, Project Management Software (Smartsheet, etc.), and proficient communication skills
- Ability to learn how to utilize internal software programs, such as IFS, Concur, etc.
- Strong attention to detail and proofreading skills
- Strong project management, organizational, and time management skills
- Ability to communicate effectively and work with multiple teams
- Ability to be a self-starter on projects and day-to-day responsibilities
