MDS Department Manager Job Summary

The MDS Department Manager is responsible for ensuring that the MDS Department maintains a current care plan and MDS for all residents, and that all documents pertaining to the plan of care are consistent with Federal, State, and local standards, guidelines, and regulations, as well as facility policies and directives from the Administrator.

The successful candidate will provide guidance to the interdisciplinary team on MDS-related reimbursement and support both the nursing and therapy departments in relation to Medicare Compliance.

Key Responsibilities
  • Review and update departmental policies and procedures, job descriptions, and other relevant documents annually, making recommendations to the Administrator as needed.
  • Ensure that department team members are aware of policy and procedure changes as they occur.
  • Monitor the interdisciplinary team for the development of a written plan of care for each resident, identifying problems, needs, and concerns.
  • Check for adequate description of problems, resident-centered goals, which are realistic and measurable, and multi-disciplinary approaches to goals.
  • Oversee the timely completion of all MDS-related documents, participating in their completion as needed to ensure compliance.
  • Review validation reports and address any concerns with the MDS department.
  • Chair resident care plan conferences, relaying concerns from residents and/or family/responsible parties to the Administrator.
  • Monitor ADL tracking tools in coordination with the Restorative Department for accuracy and compliance.
  • Provide education and training in coordination with the Restorative Department on coding of ADL tracking tools.
  • Provide guidance on reimbursement-related items to the Restorative Department.
  • Assist the Administrator in meeting all goals and completing all projects related to MDS-based reimbursement.
  • Conduct Medicare meetings in coordination with the facility Administrator and complete regular reviews of therapy schedules and needs for COT assessments.
  • Provide assistance with the review of resident services, making recommendations regarding treatment, performing documentation reviews, and other areas that will assist with maximizing reimbursement for services provided.
  • Oversee that residents/families/responsible parties are contacted in relation to participation in care plan conferences per RAI guidelines.
  • Plan, conduct, and participate in In-service Education Programs as it pertains to the RAI process for the facility IDT members.
  • Assist in implementing and maintaining an effective orientation program that orients new employees to the RAI process and data entry.
  • Attend and participate in continuing education programs.
  • Monitor residents' medical records, including MDS, Cardex, Care Plans, progress notes, Physician Order Sheets, Flow records, monthly nursing summaries, IDT notes/assessments, etc., for consistency and content.
  • Address discrepancies in documentation that are not consistent and/or do not meet program standards to the appropriate department manager and Administrator.
  • Maintain ICD-9 codes for current diagnoses.
  • Report IT concerns to the help desk in a timely manner.
  • Participate in the development, maintenance, and implementation of the facility's Quality Improvement program, completing assigned or self-initiated Quality Improvement projects to monitor Managed Care and Medicare reimbursement.
  • Work closely with the AMS MDS Coordinator on identification of problems and problem-solving action plans related to the MDS processes.
  • Attend relevant meetings as directed by the Administrator.
  • Perform other related duties as assigned.
