The Financial Aid Advisor plays a crucial role in ensuring the smooth operation of the financial aid process at San Jose State University. Reporting to the Associate Director for Counseling and Advising, this position is responsible for processing financial aid eligibility determinations, maintaining accurate records, and providing exceptional customer service to students.

Key Responsibilities
  • Interpret and apply federal and state financial aid policies and procedures to ensure compliance and accuracy in daily tasks.
  • Conduct thorough application reviews and needs analyses to determine documented financial need using the financial aid delivery system and PeopleSoft needs analysis module.
  • Verify and review various documents, including tax returns, to complete the verification process and ensure accuracy.
  • Counsel students on the need analysis process and its impact on financial aid awards, providing clear and concise explanations.
  • Stay up-to-date on federal, state, and Chancellor's Office eligibility criteria and adhere to established office practices.
  • Communicate effectively with students and parents regarding the FAFSA application process, award cycle, and financial aid award process at San Jose State University.
  • Participate in on-campus and off-campus yield events, providing valuable information to prospective applicants.
  • Assist students at the front counter, answering questions during drop-in hours and providing phone coverage for more complex calls that require transferring to an advisor.
Knowledge, Skills & Abilities
  • Excellent communication and interpersonal skills, with the ability to interact with constituents in a professional and respectful manner.
  • Ability to advise students on matters related to financial aid eligibility, money management, academic progress requirements, and other related matters.
  • Strong analytical and problem-solving skills, with the ability to identify and determine the cause of problems and develop recommendations for improvement.
  • Ability to maintain contact with customers, solicit feedback, and implement changes to improve services.
  • Proficiency in researching and developing resources to create timely and efficient workflow.
  • Ability to prepare progress reports, inform supervisors of project status, and deviation from goals.
  • Strong attention to detail, with the ability to ensure completeness, accuracy, and timeliness of all operational functions.
  • Ability to prepare and submit reports as requested and required.
  • Ability to implement guidelines to support the functions of the unit.
  • Ability to determine the importance of each task and complete functions according to established deadlines and changing priorities.
  • Ability to comply with all applicable university, state, and federal regulations.
  • Ability to maintain confidential data and follow FERPA guidelines.
  • Knowledge of financial aid programs, including Pell, Federal Loans, FWS, and Cal Grant.
  • Ability to provide timely and accurate responses, manage multiple priorities, and track decisions.
  • Ability to maintain confidentiality and handle sensitive communications with students, parents, staff, faculty, and external agencies.
  • Proficiency in using technical databases and programs for word documents, databases, communication tools, spreadsheets, etc.
  • Strong oral and written communication skills, with excellent customer service and public relations skills.

Required Qualifications
  • Equivalent to graduation from a four-year college or university in one of the behavioral sciences, public or business administration, or a job-related field.
  • Two years of professional experience in one of the student services program areas or in a related field. A master's degree in a job-related field may be substituted for one year of professional experience.
Preferred Qualifications
  • Bachelor's degree.
  • Three to four years of experience within a financial aid environment.
  • Two years of experience with financial aid verification application review, need analysis, and recalculation of financial aid eligibility.
  • Experience working with federal/state regulations and maintaining compliance and program integrity.
  • Experience with PeopleSoft and financial aid software programs (COD, NSLDS, etc.).
  • Experience in written communication skills.
