The Park Hill School District seeks an experienced Human Resources Assistant to provide complex administrative support to assigned administrators. This role involves conveying information regarding department functions and procedures, ensuring efficient operation of support functions, and coordinating assigned projects and site activities.
Job Summary
We are seeking a highly skilled and organized individual to support our HR team. The successful candidate will have excellent communication and interpersonal skills, with the ability to work effectively with diverse groups and maintain confidentiality. A strong understanding of administrative procedures and the ability to prioritize tasks in a fast-paced environment are essential.
Key Responsibilities
- Compile data from various sources (e.g., time sheets, calendars, expenditures/budget, Internet research) to prepare reports, make recommendations, and provide information for assigned administrators.
- Coordinate projects, functions, and program components (e.g., meetings, in-service events, transportation, travel and accommodations, financial reimbursements, community use of facilities) to complete activities and deliver services in a timely manner.
- Maintain manual and electronic documents, files, and records (e.g., budget data, employee records, financial records, reports) to provide up-to-date information and/or historical reference.
- Monitor activities on behalf of assigned administrators (e.g., program components, meeting arrangements, account balances, work order status) to achieve goals and meet target dates in compliance with established guidelines and regulatory requirements.
- Oversee work activities within the office to organize assignments, monitor progress, and ensure completion within established guidelines.
- Participate in meetings, workshops, and/or trainings (e.g., software upgrades, department meetings) to provide or receive information, record minutes, and support attendees.
- Prepare reports, documents, and correspondence (e.g., letters, memorandums, meeting minutes, charts, periodic and ad-hoc reports, operational procedures, manuals) to document activities, provide written reference, and convey information.
- Present information on administrative procedures (e.g., department/program policies, submission procedures) to orient new personnel and/or disseminate information to existing personnel.
- Process documents and materials (e.g., time sheets, work orders, requisitions, travel reimbursements, budget transfers) to disseminate information in compliance with administrative guidelines and/or regulatory requirements.
- Procure supplies and materials to maintain availability of required items.
- Reconcile account balances for assigned budget categories to maintain accurate account balances.
- Represent assigned administrators in their absence (e.g., district staff requests for information) to convey and/or gather information required for their functions.
- Research topics (e.g., current practices, policies, education codes) to provide information and/or recommendations addressing administrative requirements.
- Respond to inquiries from internal and external parties (e.g., staff, public agencies, parents, vendors) to provide information, facilitate communication, and/or provide direction.
- Schedule activities (e.g., appointments, meetings, travel reservations/accommodations, facility usage) to make necessary arrangements for assigned administrators.
- Support assigned administrative personnel to provide assistance with their functions and responsibilities.
Salary Information
The estimated annual salary for this position is $45,000 - $65,000, depending on experience and qualifications.
Work Environment
This role requires occasional lifting, carrying, pushing, and/or pulling, as well as some stooping, kneeling, crouching, and/or crawling. The majority of the job involves sitting, with some walking and standing required. The work environment is generally clean and healthy.
Minimum Qualifications
- Bachelor's degree in a related field (e.g., business administration, human resources, education).
- 1-2 years of experience in a related field, preferably in an administrative or support role.
- Excellent communication and interpersonal skills.
- Ability to work effectively in a fast-paced environment with multiple priorities and deadlines.
- Strong organizational and time management skills.
- Ability to maintain confidentiality and handle sensitive information.
- Familiarity with administrative procedures and policies.
- Basic computer skills and proficiency in Microsoft Office applications.
