Job Responsibilities:

  • Engage with guests and associates in a friendly, attentive, and service-oriented manner.

  • Ensure the sales system (e.g., Delphi SalesPro) is accurate and functioning properly.
  • Assist managers with creative projects, including proposals and special events.
  • Facilitate effective communication and paper flow within the department and with other departments.
  • Manage the distribution of sales contracts and related documents to the appropriate teams.
  • Provide quotes for meeting inquiries and collaborate with sales leadership for small group arrangements.
  • Work with sales leadership to detail upcoming functions and confirm arrangements.
  • Distribute necessary documents to relevant departments regarding meetings and groups.
  • Assist clients with minor requests and complete necessary paperwork.
  • Conduct site inspections as needed.
  • Input group pickup data into the sales system and track monthly production.
  • Maintain a steady flow of thank-you letters for groups and functions.
  • Monitor and order office supplies and sales materials to ensure adequate stock.
  • Contact clients for guarantee numbers and manage related tasks.
  • Organize in-house deliveries and welcome materials as required.
  • Attend sales meetings, take minutes, and distribute them accordingly.
  • Perform additional duties related to the sales and marketing efforts of the hotel as assigned.
  • Familiarize oneself with all company sales policies and house rules.
  • Ensure associates are consistently attentive, friendly, and courteous to all guests and team members.
  • Complete any other tasks assigned by the Director of Sales specific to the property.
