The Clinical Support Specialist at Herrick House reports to the Audiology Director. This role provides essential technical and administrative assistance to the clinical audiology team and their patients. It involves significant interaction with patients, the public, and medical personnel. This is an entry-level position with opportunities for advancement.
Essential Responsibilities:
Support the delivery of patient care as directed by the supervising Audiologist.
Oversee inventory management of supplies and clinic equipment. Order, receive, and prepare hearing aids and related technologies for patient use. Conduct data entry for billing and inventory management.
Welcome patients and visitors courteously, demonstrating respect and privacy. Act as a central communication hub in patient care delivery by being responsive and accessible. Provide accurate information and follow up to ensure all needs are met.
Handle appointment scheduling, data entry, chart preparation, scanning, and other clerical tasks as needed.
Assist in preparing patients for tests and support Audiologists during various assessments.
Maintain a clean and inviting reception area. Ensure clear signage and information display in the reception area. Monitor audio or visual elements for appropriate settings to create a calming environment. Contact relevant departments for repairs or services and ensure follow-through.
Safeguard Patient Health Information (PHI) for treatment, payment, and operations purposes only.
PHI is shared solely with individuals directly involved in the patient's care. No other parties may access or discuss a patient's personal health information without consent.Implement patient safety practices to mitigate risks of harm. Report any adverse events or near misses to the Risk Management Department promptly.
Required Qualifications:
High School diploma or GED required. A Bachelor's degree in Communication Disorders is preferred.
3-5 years of relevant administrative experience required.
Experience in patient care and/or hearing aids is essential.
Proficient in Microsoft applications including Outlook, Word, Excel, PowerPoint, or Access, with the ability to produce complex documents and maintain databases.

Ability to deliver high-quality customer service to patients, visitors, staff, and external customers in a professional and respectful manner, utilizing active listening and problem-solving skills. Ability to remain composed in stressful situations.
Physical Nature of the Job:
Medium work:
Exerting up to 50 pounds of force occasionally and/or up to 20 pounds of force frequently. The role is physically demanding, requiring the employee to stand and/or move around for the majority of their shift.
