Responsibilities

Membership Administrative Analyst

The Air Line Pilots Association, International (ALPA), the foremost airline pilot union globally and a leading non-governmental aviation safety organization, is seeking a Membership Administrative Analyst. This role is essential in supporting our membership base of over 78,000 pilots across 71 airlines in the United States and Canada.

The Membership Administrative Analyst will be responsible for:

  • Receiving and addressing inquiries from pilots, elected officials, and airline representatives.
  • Analyzing data files and incoming communications to determine appropriate actions.
  • Responding efficiently to inquiries regarding pilot dues, insurance billing, and membership-related issues within established timeframes.
  • Documenting all correspondence related to membership or billing inquiries in the pilot's electronic file.
  • Communicating with necessary parties to gather information for timely responses.
  • Tracking the status of all inquiries and keeping relevant parties updated.
  • Maintaining pilot demographic information and preparing correspondence as needed.

Additionally, the analyst will:

  • Maintain and update pilot billing accounts in the Association Management System (AMS) for all Accounts Receivable activities.
  • Perform annual earnings-file verifications and reconciliations using pilot payroll or tax reports.
  • Process periodic rebate transactions and establish a follow-up system to ensure accurate and prompt processing of work.
  • Ensure the accuracy of membership and billing account information through regular analysis of generated reports.
  • Assist and support other departmental functions as required.

The ideal candidate will quickly acquire and apply knowledge of the Association's Constitution, By-Laws, and Administration Manual in their daily work, contributing to a challenging and rewarding environment.

Minimum Requirements:

  • Two years of college with a focus on business administration or management is strongly preferred; a high school diploma is required, or an equivalent combination of education and experience.
  • A minimum of two years of experience working with computer systems in a business setting is required.
  • Experience in customer/member service is essential.
  • Familiarity with an AMS is preferred, with Aptify experience being strongly favored.
  • Proficiency in Microsoft Excel, Access, Word, and Outlook is necessary.
  • Excellent interpersonal and communication skills, both oral and written, are required.
  • Ability to interact professionally with all levels of contacts, both internal and external.
  • Flexibility to work on short notice as needed.
  • Strong mathematical aptitude is required.

Regularly operates a computer or mobile device. Frequently required to maintain a stationary position, move about the office, and communicate effectively with others.

Occasionally required to move, raise, reach, and/or retrieve items weighing up to ten (10) pounds. Sporadically, may need to handle items weighing as much as 25 pounds.

Projected Annual Salary Range: $49,816.00 – $67,028.00
