Core Responsibilities:

  • Daily Financial Oversight & Billing: Conduct daily checks on pricing and service packages to ensure accuracy and uniformity. Prepare and dispatch invoices utilizing Conductor and QuickBooks, while keeping financial documentation current.
  • Accounts Receivable Management: Perform weekly assessments of the outstanding accounts receivable report. Confirm that all services and appointments are finalized by the billing deadline to reduce delays in the revenue cycle.
  • Corporate Liaison: Serve as a point of contact with the corporate team, promptly addressing any concerns related to automated integration systems.
  • Service Reporting: Create and distribute detailed service reports to fleet managers each morning, ensuring they receive accurate and timely updates on services provided.
  • Weekly Financial Reporting: Compile and send a thorough weekly financial report every Monday, outlining revenue, labor costs, and expenditures to the General Manager, assisting in financial strategy and decision-making.

Required Qualifications:

  • Demonstrated experience as an Administrative Assistant or in a comparable position.
  • Proficient in financial software, particularly Conductor and QuickBooks.
  • Exceptional organizational skills with a keen eye for detail.
  • Strong verbal and written communication abilities.
  • Capacity to work autonomously and manage multiple responsibilities effectively.
  • Excellent problem-solving capabilities and the ability to address issues swiftly.
