POSITION SUMMARY:
Accountable for the successful execution of designated programs within established budgetary and scheduling parameters. Secure client approval for the program and transition to the service team with all outstanding issues resolved. Serve as the primary liaison for all matters related to the program and ensure timely follow-up on unresolved issues. Provide consistent updates to management.
KEY RESPONSIBILITIES:
- Engage in the assessment of project requests for quotations (RFQs) and contribute to project cost estimation as necessary.
- Participate in initial project meetings and guarantee the transfer of all pertinent information from the sales department to project management.
- Disseminate client specifications, standards, approval protocols, and other relevant documentation to team members.
- Develop and maintain a project timeline using project management software.
- Establish a project budget and oversee expenditures within approved limits.
- Report on budget and timeline performance, actual versus forecasted completion, and promptly identify any potential risks.
- Collaborate with the sales manager to manage purchase order modifications and change requests.
- Draft specifications for third-party services or supply scope with input from engineering.
- Evaluate supplier bids against specifications and provide recommendations for selection.
- Organize and facilitate project review meetings, approval meetings, site visits, and other gatherings with the project team, clients, suppliers, and partners.
- Document meeting minutes, create lists of open issues, and follow up on actions to ensure resolution.
- Act as the central communication point between the client and the project team.
- Circulate all relevant information to stakeholders and maintain control over issues.
- Provide a manpower plan and regular updates to the field service coordinator, coordinating with partners and subcontractors for additional resources as needed.
- Coordinate site preparation, delivery, and initiation of installation with the client and logistics department.
- Regularly visit the site to monitor progress and support the site manager, addressing any outstanding issues as necessary.
- Oversee the approval process and secure client sign-off.
- Create a punch list and ensure timely resolution of outstanding items.
- Confirm that all training, documentation, spare parts lists, warranty information, etc., are complete and transferred to the service team.
- At the end of each program, conduct a review to capture lessons learned.
QUALIFICATIONS:
- Bachelor's degree or equivalent in Project Management, Engineering, or a related field, along with 8+ years of relevant experience.
- Experience in capital equipment, such as presses.
- Proficient in Microsoft Office Suite (Excel, Outlook, Project, and PowerPoint).
- Project Management Professional (PMP), Program Management Professional (PgMP), Certified Associate in Project Management (CAPM), or similar certifications are highly desirable.
- Experience with corporate business operations software is essential; familiarity with SAP is preferred.
- Demonstrated ability to create documents/tools that enhance departmental organization.
- Able to facilitate discussions and deliver presentations with complex technical content clearly and informatively.
- Highly organized and time-sensitive.
- Possess strong analytical skills.
- Proficient in computer skills with the capacity to learn new software.
- Customer-oriented.
- Strong time management and organizational capabilities.
- Able to manage multiple tasks and adapt to a dynamic business environment.
- Self-driven and results-focused; capable of making independent decisions.

- Fluent in English with advanced reading and writing proficiency.
- Knowledge of the German language is a plus.
- Visa holders/English as a Second Language (ESL) individuals must take the TOEFL exam and achieve a score above the passing grade.
