Job Summary

We are seeking an experienced Administrative Assistant to join our team at The Neighborhood at Madison. As a key member of our community, you will provide exceptional support services to our residents, associates, and department directors.

Key Responsibilities
  • Assist the Associate Director with payroll, time and attendance, and human resource information system (HRIS) tasks.
  • Recruit and onboard new team members, track training, and maintain personnel files and employment binders.
  • Administer benefits and worker's compensation, and provide generalist accounting and administrative services.
  • Greet potential residents, families, and visitors, manage calls and messages, and maintain a pleasant atmosphere in the Bistro area.
  • Refer to resident profiles and addendums, facilitate activities, and recognize changes in resident condition.
  • Provide community information to inquiries, document contact information, and support marketing and sales efforts.
  • Maintain the Bistro area, assist with EEO and worker's compensation matters, and inventory and order office supplies.
  • Log and distribute invoices, maintain the Tickler Reminder tracking system, and assist with personnel file maintenance.
  • Complete Phoenix Academy training, process new hire paperwork, and prepare associate data for payroll and record keeping.
  • Participate in regularly scheduled meetings, maintain communication with the Associate Director, and possess excellent communication skills.
Requirements
  • 1-year related experience, Associate's or Bachelor's degree preferred.
  • Supply management, informing others, tracking and analyzing budget expenses, delegation, staffing, and managing processes.
  • Ability to multitask, supervise, develop standards, promote process improvement, inventory control, and reporting skills.
Physical Requirements
  • Stand/walk: 4-6 hours/day.
  • Sit: 4-6 hours/day.
  • Drive: 30-60 minutes, 1-2 times a week.
  • Lift/carry: 40-70 lbs, occasionally.
  • Use hands for repetitive tasks: simple grasping, pushing, and pulling, fine manipulation.
