Job Title: Records Management Specialist

Join the South Bend Community School team as a Records Management Specialist, responsible for ensuring the accuracy and integrity of employee records and data.

Key Responsibilities:
  • Assist the budget department in projecting staffing needs for the upcoming school year.
  • Collaborate with Human Resources to prepare staffing reports for meetings with schools.
  • Maintain and update employee salary changes, position changes, and leave updates in the Human Capital Management (HCM) system.
  • Ensure accurate information on annual contracts for certified and administrative staff.
  • Maintain non-certified contractual information regarding extra duties and extra-curricular activities in the HCM system.
  • Process email creation and deletion, and collaborate with the Total Rewards Specialist on retirees and resignations.
  • Verify payroll information with the budget department before issuing payroll checks.
  • Generate seniority reports for all staff and union groups.
  • Work with the Evaluation and testing department on annual EEOC and IDOE reports for the state.
  • Perform other duties as assigned.
Requirements:
  • High School diploma or 3 years of applicable experience.
  • Bachelor's Degree, preferred.
  • SHRM-CP, preferred.
  • Exceptional customer service skills.
  • Effective oral and written communication skills.
  • Ability to adapt to changing work priorities.
  • Ability to work with constant interruptions.
  • Ability to remain professional in stressful situations.
Preferred Qualifications:
  • Strong written and verbal communication, administrative, and organizational skills.
  • Ability to work with conflicting deadlines and exercise good judgment.

Physical Demands:

The Records Management Specialist must be able to lift, push, and pull up to 25 lbs., sit, stand, walk, speak, hear, and use close vision. The position works in standard office and school building environments, requiring regular attendance and the ability to handle stress.
