Position Summary
Highlands Ranch Animal Hospital is a dedicated veterinary facility located in a picturesque area. We are currently seeking a skilled individual to take on the role of part-time veterinary receptionist. This position calls for a friendly, enthusiastic, and reliable person who possesses a positive demeanor and outstanding customer service abilities. Our practice focuses exclusively on small animals and is experiencing rapid growth. Join us in a supportive and vibrant work environment with ample opportunities for advancement at all levels. A minimum of 2 years of relevant veterinary experience is required. If you embody these qualities and are seeking a long-term position, we would be excited to meet you. Our practice operates in a paperless environment, so familiarity with veterinary software is advantageous but not mandatory. Compensation will be commensurate with experience.
Key Responsibilities
- Arrive punctually and prepared for work as scheduled by management.
- Understand and accurately pronounce common veterinary terminology.
- Welcome clients warmly and professionally.
- Manage cash drawer balances at the beginning and end of each day.
- Demonstrate proficiency in computer skills, including Excel and Word, typing at least 30 words per minute, and maintaining accuracy in data entry.
- Respond to client inquiries regarding basic animal care and routine procedures.
- Inform clients about over-the-counter products, nutraceuticals, and preventive care options to encourage sales.
- Facilitate the check-in and check-out process for patients.
- Ensure medical records are accurately recorded and updated.
- Prepare health and immunization certificates.
- Discuss euthanasia services with clients, collect necessary authorizations, and manage related documentation.
- Handle client and patient transfers, obtaining records from other veterinary facilities.
- Generate client invoices for services rendered.
- Process payment transactions accurately, including online, credit card, and cash/check payments.
- Maintain an effective appointment schedule, prioritizing urgent cases.
- Receive and relay messages via telephone, fax, and email promptly and accurately.
- Answer phone calls efficiently and courteously using a multi-line system.
- Input and update client and patient information in practice management software, including attaching pet photos to records.
- Communicate costs and fees while adhering to hospital payment policies.
- Convert potential clients into actual clients through effective communication.
- Manage client correspondence, including reminders, thank-you notes, and sympathy arrangements.
- Ensure the front office maintains a professional and welcoming appearance through cleanliness and organization.
- Coordinate ultrasound appointment scheduling.
- Assist in maintaining cleanliness in exam rooms between appointments.
- Make reminder calls for upcoming surgeries and new client appointments.
- Maintain office equipment, including PCs, telephones, and fax machines.
- Organize and maintain an alphabetical filing system.
- Follow oral and written instructions accurately.
- Perform additional duties as assigned by management.
- Complete end-of-day, end-of-month, and end-of-year tasks accurately.
- Foster positive and respectful relationships with colleagues.
