Job Summary

The Assistant Center Manager plays a vital role in ensuring the smooth operation of our medical center. This position requires strong administrative leadership skills, with a focus on supervising team members and delivering exceptional patient care and customer service.

Key Responsibilities
  • Identify areas for improvement within departments and centers, and implement changes to enhance overall efficiency.
  • Assist in the selection, evaluation, coaching, and training of team members to ensure they have the skills and knowledge needed to excel in their roles.
  • Oversee the onboarding process for new team members, providing comprehensive training and support to ensure a seamless transition.
  • Manage physician scheduling and cancellations, ensuring timely and effective communication with patients and staff.
  • Coordinate activities such as patient birthdays, holiday events, and other miscellaneous activities with the activity coordinator.
  • Supervise the Patient Registration process, ensuring accuracy and compliance with regulatory requirements.
  • Manage patient flow and work closely with the Medical Assistant team lead to ensure efficient operations.
  • Assist with timekeeping, including employee edit requests and Paid Time Off requests.
  • Ensure compliance with all licensing and regulatory requirements, including local, state, and federal agencies.
  • Responsible for sending Daily Morning Pulse, completing daily center checklists, and monitoring daily huddles.
  • Keep fire drills and dental logs up to date.
  • Assist with inventory management, ordering supplies as needed.
  • Confirm transportation lists are accurate and sent to the transportation team in a timely manner.
  • Ensure phones are answered professionally and promptly.
  • Process Daily Task Reports and follow up with team members on any open tasks.
Requirements
  • At least two years of medical office or healthcare administrative experience.
  • MS Office programs experience.
  • CPR certification from the American Heart Association (training and certification can be provided upon hire).
  • Ability to use relevant information and individual judgment to determine compliance with laws, regulations, or standards.
  • Ability to work independently and carry out assignments to completion within parameters of instructions given.
  • Ability to use logic and reasoning to identify strengths and weaknesses of alternative solutions.
  • Ability to understand written sentences and paragraphs in work-related documents.
  • Knowledge of medical terminology.
  • Bilingual skills preferred (English/Spanish).
