Job Description

At InNet, we are seeking a detail-oriented and organized Finance and Sales Operations Specialist to join our team and play a crucial role in ensuring the smooth and efficient functioning of our financial and sales processes.

This is a long-term position that offers flexibility to accommodate a personal schedule with 4-6 hours per day required on average. It is ideal for someone who wants both flexibility but can be depended upon to flexibly but dependably provide availability 4-6 hours on average each weekday.

Responsibilities:

  1. Utilize QuickBooks Online to manage financial transactions, including recording expenses, revenue, and invoices, ensuring accurate and up-to-date financial data.
  2. Monitor bank activity on a daily basis, reconciling transactions and identifying any discrepancies or issues.
  3. Prepare and send customer quotes promptly, accurately capturing product details and pricing based on established guidelines.
  4. Organize and maintain print or digital records of completed invoices, expenses, and associated documents, ensuring they are properly filed and easily accessible.
  5. Assist executive leadership with various business tasks.

Weekly Tasks:

  1. Generate and distribute weekly reports related to financial performance, sales activities, and key performance indicators (KPIs) to relevant stakeholders.
  2. Process purchase orders in a timely manner, verifying order details, and coordinating with vendors to ensure smooth procurement.
  3. Update transactions in Salesforce, entering closed sales and customer data accurately and consistently.
  4. Monitor upcoming renewals and create opportunities in Salesforce for the sales team to follow up with existing customers.

Additional Responsibilities:

  1. Manage both incoming and outgoing invoices, processing payments, and ensuring accuracy in invoicing details.
  2. Oversee the accounts payable process, ensuring that bills are paid on time and vendor relationships are maintained.
  3. Keep track of sales bookings, ensuring that all relevant data is accurately recorded in the system.

Requirements:

  • Bachelor's degree in finance, accounting, business administration, or a related field is preferred.
  • Proven experience in financial management, accounting, or sales operations is an advantage.
  • Proficiency in using QuickBooks and Salesforce (or other CRM systems) is highly desirable.
  • Strong attention to detail and organizational skills to manage multiple tasks effectively.
  • Excellent communication and interpersonal skills to collaborate with various teams and stakeholders.
  • Analytical mindset with the ability to interpret data and generate meaningful reports.
  • Adaptability and willingness to work in a fast-paced environment with tight deadlines.
  • Ethical and trustworthy behavior in handling financial and sensitive information.
