Job Summary

Key Responsibilities
  • Coordinate staff schedules, calendars, and travel arrangements for the Investment Office, ensuring seamless execution of meetings and projects.
  • Exercise independent judgment and decision-making for travel arrangements, ensuring compliance with Foundation protocols and policies.
  • Process financial transactions, monitor budgetary expenditures, and prepare complex travel vouchers on behalf of the department.
  • Assist the CIO and Investment Staff with the design and production of board-related materials and publications.
  • Manage confidential and secured documents, adhering to data standards for storage and maintenance.
  • Administer operational activities, including landlord, security, supply, and systems issues.
  • Facilitate day-to-day responsibilities and operations of the front desk, handling correspondence and acting as a point of contact between staff, clients, and stakeholders.
Requirements
  • Bachelor's degree or equivalent work experience required.
  • Demonstrated ability to work in a fast-paced office environment.
  • Strong organizational and time management skills, with the capacity to manage shifting deadlines and priorities.
  • Proven ability to be resourceful, handle unexpected situations, and manage multiple tasks simultaneously.
  • Excellent verbal and written communication skills, with attention to detail and the ability to maintain confidentiality.
  • High level of proficiency in computer applications, including Microsoft Outlook, Word, Excel, and PowerPoint.
