Job Title: Office Manager

Job Summary:

We are seeking a highly organized and motivated Roofing Office Manager to oversee day-to-day operations in our roofing business office. The ideal candidate will be responsible for managing administrative functions, coordinating schedules, ensuring customer satisfaction, and supporting team operations.

Key Responsibilities:

  • Administrative Oversight: Manage office operations, including maintaining records, handling correspondence, and ensuring a smooth workflow.
  • Scheduling and Coordination: Create, manage, and update roofing project schedules for field teams and coordinate with clients on appointments and inspections.
  • Customer Service: Serve as the main point of contact for customer inquiries, complaints, and follow-ups to ensure high levels of customer satisfaction.
  • Team Support: Work closely with sales teams, project managers, and field technicians to provide administrative and operational support.
  • Financial Management: Assist with invoicing, account tracking, vendor payments, and payroll processing.
  • Document Management: Organize contracts, permits, and warranties for roofing projects to ensure compliance and completeness.
  • Inventory Tracking: Monitor and track office and field supply levels; coordinate with vendors for reorders as needed.
  • Reporting: Generate daily, weekly, and monthly reports on project progress, leads, and financial performance for management review.
  • Policy Implementation: Ensure office policies and safety protocols are followed by all staff members.

Qualifications:

  • Experience:
    • 2+ years of experience in office management or administrative roles, preferably in the construction or roofing industry.
    • Knowledge of roofing terminology and processes
  • Skills:
    • Excellent organizational and multitasking abilities.
    • Strong written and verbal communication skills.
    • Proficiency in Microsoft Office Suite and project management software.
    • Familiarity with CRM systems is an advantage.
  • Personal Qualities:
    • Strong problem-solving skills.
    • Attention to detail and accuracy in work.
    • Ability to work under pressure and manage deadlines efficiently.
