We are a dynamic and bustling Pain Management Practice seeking a dedicated individual to support our daily administrative operations.
KEY RESPONSIBILITIES:
- Execute daily administrative tasks and general office responsibilities, including but not limited to document preparation, copying, filing, faxing, answering phone calls, and data entry.
- Greet and assist patients, clients, and visitors in a friendly and professional manner; ascertain the purpose of their visit and guide them to the appropriate personnel.
- Coordinate patient appointments and procedures to ensure optimal patient flow.
- Thoroughly verify patient information, update records, and inform patients of necessary documentation required for their visit.
- Deliver exceptional customer service to patients while adhering to confidentiality and privacy standards in line with Office policies and HIPAA regulations.
- Maintain organized and tidy patient waiting areas, office files, and front-desk environments.
- Notify patients of any outstanding balances and prepare them for payment at the time of their visit.
- Confirm payment methods for services (Medicare, private insurance, private pay, Workers Comp, No-Fault, etc.) and collect necessary data and/or payments as required.
- Conduct Insurance Verifications and Eligibility checks for all patients and request Prior Authorization when necessary.
- Utilize problem-solving and conflict resolution skills to address patient concerns; escalate issues to designated personnel as appropriate.
- Perform additional duties as assigned.
QUALIFICATIONS:
- Comprehension of the significance of maintaining confidentiality; ability to uphold confidentiality under HIPAA standards.
- Demonstrated ability to exercise diplomacy and tact; exceptional customer service and interpersonal communication skills; cultural sensitivity and experience working with diverse populations.
- Intermediate to advanced telephone skills; capable of effectively communicating with patients, clients, and visitors both over the phone and in person.
- Highly adaptable; able to respond to the evolving needs of the department.
- Strong verbal and written communication skills in English; proficiency in additional languages is a plus.
- Basic math knowledge and familiarity with modern office practices.
- Ability to thrive under pressure with minimal supervision; proven flexibility and willingness to manage a variety of tasks.
- Proficient computer skills.
EDUCATION AND EXPERIENCE:
- High school diploma or equivalent, with a minimum of two years of experience as a medical receptionist in a similar healthcare environment.
- Experience with Workers' Compensation and No-Fault claims is advantageous.
- Familiarity with eClinical Works EHR is required.
