Executive Assistant to the Superintendent/President and Board of Trustees

Cuesta College is seeking a highly skilled and experienced Executive Assistant to provide administrative support to the Superintendent/President and Board of Trustees. This is a critical role that requires exceptional organizational skills, discretion, and the ability to maintain confidentiality.
Key Responsibilities- Provide administrative support to the Superintendent/President and Board of Trustees, including preparing agendas, minutes, and other documents.
- Coordinate and manage the Superintendent/President's schedule, screen calls and visitors, and provide information and assistance as requested.
- Assist in the development of the Superintendent/President and Board of Trustees budgets, maintain and monitor budgets, and advise on impacts of changes in budgeting and funding.
- Oversee the maintenance of filing systems, including general files, archived files, and historical records of the Office of the Superintendent/President, Board of Trustees, and the District.
- Provide direct assistance to the Superintendent/President and Board of Trustees in the preparation of appropriate documents, reports, memos, letters, and other pertinent material for meetings and in response to inquiries from various internal and external individuals or groups.
- Assist in organizing campus events, receptions, meetings, and special functions hosted by the Office of the Superintendent/President, ensuring all logistical details are managed effectively.
- Associate's degree and six years of related experience or Bachelor's degree with two years of related experience.
- Education may be substituted for experience on the basis of one year of education for two years of experience.
- Knowledge of District organization, programs, policies, procedures, rules, pertinent Federal, State and local laws, codes, and regulations.
- Modern office procedures, methods and practices.
- Principles of and the ability to write letters and reports.
- Professional, effective techniques in dealing with the public in person and on the telephone, including tactics to diffuse an escalating situation.
- Techniques of and the ability to write business letters and reports.
- Modern office equipment, computer equipment, and current software programs including but not limited to word processing, spreadsheet, and data base programs.
- Correct English usage: grammar, spelling, vocabulary, punctuation, and proofreading.
- Supervisory techniques.
- Valid driver's license and eligible to obtain California driver's license upon hire.
- Ability to see for the purpose of reading laws and codes, rules and policies and other printed matter.
- Interact professionally with the community, donors, Board Members, students, faculty, staff and administration and county and state officials at all times.
- Understand and carry out oral and written directions.
- Demonstrate a sensitivity to and understanding of the diverse academic, socioeconomic, cultural, disability, gender identity, sexual orientation, and ethnic backgrounds of community college students.
