Job Title: Executive Support Coordinator for Project Operations

Estimated Salary: $72,000 per year

About the Role

This position involves providing high-level administrative support to project management and operations teams. The ideal candidate will be an organized professional with excellent communication skills and experience in a similar role.

Key Responsibilities
  • Collaborate with project managers to track project status, documentation, and correspondence, ensuring seamless execution and timely completion.
  • Prepare Submittals, Subcontracts, and Change Orders, maintaining accurate records and adhering to regulatory requirements.
  • Organize and manage project documentation, including filing and retrieval systems, to ensure efficient access to critical information.
  • Schedule meetings with external parties, take minutes, and maintain a comprehensive record of interactions.
  • Prepare internal project reports, highlighting key milestones, progress, and challenges.
  • Provide exceptional communication and customer service skills, responding to inquiries in a timely and professional manner.
  • Monitor and review time and attendance records, as well as expense reports, to ensure compliance and accuracy.
  • Coordinate travel arrangements for team members, managing logistics and scheduling.
Requirements
  • An articulate professional with exceptional communication skills, able to effectively interact with stakeholders at all levels.
  • Strong analytical and problem-solving abilities, with the capacity to learn new software and company-specific applications.
  • Proficiency in Microsoft Office applications, Jira, Adobe Acrobat, and Smartsheets, with a willingness to adapt to new tools and technologies.
  • Minimum 5 years of experience in administrative support, preferably in the IT or construction industry.
  • An Associate's Degree in business administration or a related field.
  • A clear background check, ensuring suitability for the role.
