Job Summary:

The Corporate Financial Operations Specialist will play a vital role in maintaining accurate financial records, ensuring compliance with relevant regulations, and supporting the overall financial operations of Pro-Tec Design. This position requires strong analytical skills, attention to detail, and the ability to work collaboratively with team members across departments.

Key Responsibilities:

  • Accounts Payable:
    • Process accounts payable invoices and manage payment schedules to ensure timely payments and avoid late fees.
    • Monitor company credit card activity to prevent unauthorized transactions.
    • Conduct regular reviews to ensure compliance with credit policies and procedures.
  • Data Entry and Reporting:
    • Enter and maintain accurate data in various systems, including Connectwise, Quotewerks, Business Central 365, and BrightGuage.
    • Assist in preparing regular reports on operational performance, trends, and issues resolution to inform business decisions.
    • Ensure accurate database pricing and assist with database management to optimize financial performance.
  • Inventory and Resource Management:
    • Monitor and manage inventory levels for necessary stock, ensuring timely restocking to meet business needs.
    • Maintain accurate records of assets, equipment, and supplies to facilitate efficient operations.
  • Financial Reporting:
    • Assist in the preparation of monthly, quarterly, and annual financial statements to provide stakeholders with accurate and timely information.
    • Provide supporting documentation and detailed analysis for financial reports to facilitate informed decision-making.
    • Contribute to variance analyses and present findings to senior management to identify areas for improvement.
  • General Ledger Management:
    • Record day-to-day financial transactions and complete the posting process to ensure accurate financial records.
    • Prepare and maintain general ledger entries, ensuring accuracy and adherence to company policies and procedures.
    • Reconcile accounts monthly, including bank, credit card, and vendor accounts, and resolve any discrepancies to ensure financial accuracy.
  • Budgeting and Forecasting:
    • Assist in the development and monitoring of annual budgets and forecasts to inform business decisions and optimize financial performance.
    • Analyze budget variances and provide recommendations for adjustments to improve financial outcomes.
    • Work with management to implement cost-saving strategies to reduce expenses and enhance profitability.
  • Process Improvement:
    • Identify areas for process improvement and assist in implementing changes to enhance efficiency and accuracy.
    • Develop and document procedures and workflows to streamline operations and improve productivity.
  • Data Analysis and Other Tasks:
    • Provide backup for other administrative functions as needed.
    • Analyze financial data to identify trends, variances, and opportunities for financial improvement to inform business decisions.
    • Assist with ad hoc financial projects, reports, and analysis as needed to support business objectives.

Salary:$60,000 - $80,000 per year
