Position Overview:
As a vital member of the Arts and Sciences Grants Administration Integrated Network (GAIN), the Grants and Accounts Specialist plays a key role in managing pre-award, post-award, and compliance functions for designated departments and programs.
This role is expected to deliver expert-level support and consultation regarding external funding practices, agency regulations, and institutional policies and procedures.
Additionally, this position will oversee Contract & Grant Coordinators, providing necessary training, development, and mentorship to new team members.
Key Responsibilities:
Pre-Award:
- Coordinate all administrative tasks related to grant applications for federal and private funding entities.
- Navigate internal and external submission systems, advising principal investigators (PIs) on required materials and timelines to meet deadlines.
- Interpret agency guidelines, offering expert advice on allowable costs associated with grants, contracts, and subagreements.
- Collaborate with PIs to develop budgets and provide guidance throughout the proposal development process.
- Facilitate communication with other institutions for subagreements and collaborative efforts.
- Stay informed on federal regulations affecting grant management and educate PIs and staff on relevant changes.
Post-Award:
- Act as a liaison to central university research offices involved in the grants management process.
- Supervise and review expenditures to ensure compliance with federal regulations and institutional policies.
- Generate and analyze financial reports for PIs, monitoring spending and invoicing of subagreement institutions.
- Process complex adjusting entries and manage multiple reporting deadlines.
- Prepare and submit post-award grant documentation, including extensions and changes of PIs.
- Close out accounting records for expired grants and address outstanding issues with departments.
Management:
- Lead a team of Contract and Grant Coordinators, ensuring timely and accurate completion of tasks.
- Provide support for complex multidisciplinary proposals and post-award tasks.
- Facilitate training and development for team members to promote their professional growth.
- Escalate issues to the Supervisor as necessary.
- Perform additional duties as assigned by the supervisor or departmental liaison.
Preferred Qualifications:
- Bachelor's degree in accounting with five years of relevant experience.
- Familiarity with financial management systems and federal grant opportunities.
- Experience in grants administration within a university environment.
- Proficient in Microsoft Excel and Word, with strong analytical and organizational skills.
Required Qualifications:
- Bachelor's degree in business, accounting, or a related field, with four years of relevant experience or an equivalent combination of education and experience.
Compensation:
Grade G11
Salary Range: $52,000 - $88,800 Annually
