Job Description:

We are seeking a highly organized and detail-oriented Administrative Support Specialist to join our team at Professional Search Group (PSG). The successful candidate will provide essential administrative support to our property management team, ensuring the smooth day-to-day management of properties.

Key Responsibilities:

  • Manage incoming inquiries, emails, and correspondence related to properties.
  • Maintain organized records and files for all properties and tenants.
  • Respond to tenant requests, inquiries, and complaints in a professional and timely manner.
  • Coordinate repairs and maintenance services with vendors and contractors.
  • Assist with the preparation, distribution, and tracking of lease agreements, amendments, and renewals.
  • Support the property manager in tracking rents, processing payments, and issuing invoices.
  • Reconcile financial records and prepare regular expense reports.
  • Ensure property management activities comply with local, state, and federal regulations.

Qualifications & Skills:

  • Bachelor's degree in business administration or a related field preferred.
  • At least 2 years of experience in administrative roles, preferably in property management or real estate.
  • Familiarity with property management software such as Yardi, AppFolio, or Buildium is a plus.
  • Excellent organizational and multitasking abilities.
  • Strong written and verbal communication skills.
  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook).
  • Attention to detail and problem-solving capabilities.
