Job Title: Title/Billing Clerk

Department: Accounting

Reports to: Controller

FLSA Status: Non-Exempt

Position Summary:

The Title/Billing Clerk plays a crucial role in processing car deals, verifying costs, and preparing legal transfer documents for the DMV. This position requires attention to detail, organizational skills, and the ability to work accurately in a fast-paced environment.

Essential Duties & Responsibilities:
  • Prepare tax and title documents to ensure compliance with regulatory requirements.
  • Submit all legal transfer documents to the DMV in a timely manner.
  • Prepare stock cards for new and used vehicles, maintaining accurate records.
  • Receive and process paperwork from the F&I department, ensuring seamless communication.
  • Prepare payoff checks for new vehicles and trade-ins, managing financial transactions.
  • Post vehicle sales and purchases in the accounting system, maintaining accurate records.
  • Input inventory control information to ensure accurate stock levels.
  • Report new car sales to the manufacturer, maintaining relationships with suppliers.
  • Order new vehicles on computer, managing inventory and supply chain.
  • Register extended service policy contracts, providing excellent customer service.
  • Prepare trade-in vehicle jackets, ensuring accurate documentation.

Education & Experience: High school diploma or general education degree (GED); and one to two years related experience and/or training; or equivalent combination of education and experience.

Language Skills: Ability to read and interpret documents such as sales agreements, tax and title documents, and procedure manuals. Ability to write routine reports and correspondence. Ability to effectively present information in one-on-one and small group situations to customers, employees, and the general public.

Mathematical Skills: Ability to calculate figures and amounts such as discounts, interest, commissions, percentages. Ability to apply concepts such as fractions, percentages, ratios, and proportions to practical situations.

Reasoning Ability: Ability to apply common sense understanding to carry out instructions furnished in written or oral form. Ability to deal with problems involving several concrete variables in standardized situations.

Certificates, Licenses, & Registration: Current, valid, driver's license and satisfactory Motor Vehicle Report (MVR) are required.
