We are seeking a highly organized and detail-oriented Administrative Assistant II to join our team at Kilgore College. This role will play a critical part in developing and implementing an aggressive enrollment program, managing records related to admissions and registration, and providing exceptional customer service to students, faculty, and staff.
Key Responsibilities- Process and manage electronic transcripts, including TREx and SPEEDE, as well as KC academic and continuing education electronic transcript requests.
- Analyze and report on transcript trends to inform enrollment strategies.
- Enter test scores into the student information system as needed and process drop/withdrawal requests.
- Add and remove office-related admissions and registration holds, and process JICS reports as required.
- Maintain student address accuracy and mail non-attendance and enrollment verifications.
- Record student bacterial meningitis vaccination status and contribute to data accuracy and integrity through data maintenance and entry.
- Provide general information about KC in both oral and written formats and represent the college in a professional manner.
- Perform routine office duties, manage the front counter, and supervise student assistants.
- Conduct training and provide technical support for Docubase users and provide historical catalog clarifications.
- Assist students, faculty, and staff with specific records questions and support prospective students with admissions application processes, as needed.
- Support former students/alumni with official record retrieval and contribute to the overall welcoming environment of KC.
- Associate degree required; bachelor's degree preferred.
- Proficiency in Microsoft Office (Word, Excel, and Outlook) and data entry required.
- Familiarity with Jenzabar J1 student information systems and Docubase imaging preferred.
- Effective oral and written communications skills are a must.
- The ability to work independently and as a team member is essential.
- 36-hour work week for a healthy work-life balance and generous paid leave time.
