Key Responsibilities

The Operations Specialist will:

  • Support directors of Continuing Care Retirement Communities (CCRCs), retirement communities, or assisted living facilities with management and oversight on a temporary or as-needed basis.
  • Step in during management vacancies, start-ups, acquisitions, vacations, or leaves of absence, and may assist a Regional Vice President with special projects.
  • Function in various roles, including supervision, quality assurance, training, regulatory compliance, and direct resident care as necessary.
  • Conduct operations in alignment with strategic initiatives to enhance customer satisfaction, associate satisfaction, occupancy rates, workplace culture, and operational efficiency.

Staff Management

Assist in recruiting and retaining qualified staff while fostering a positive and supportive team environment. Responsibilities may include interviewing and recommending candidates for hire.

Marketing and Admissions

Provide support in marketing efforts, outreach initiatives, resident admissions, assessments, and discharge processes.

Performance Reviews

Assist with conducting associate performance evaluations and assessing training needs for staff, providing training as required.

Budget Oversight

Help resolve budget discrepancies and variances, and work to address issues raised by residents or their families.

Facility Maintenance

Ensure that the residence and its grounds are clean, well-maintained, and compliant with safety regulations, including conducting routine safety inspections.

Healthcare Management Support

Collaborate with the healthcare management team to organize and conduct service plan reviews, supervise resident chart maintenance, and review documentation completed by care staff.

Team Leadership

Manage subordinate supervisors overseeing resident care, marketing, food service, housekeeping, and maintenance staff, ensuring effective direction and evaluation of these units.

Qualifications

Education: A Bachelor's degree from an accredited institution and three to five years of relevant experience, or an equivalent combination of education and experience.

Licenses: A valid driver’s license and access to a private vehicle for business use are required. Must be licensed in accordance with state regulations.

Travel Requirements

This position necessitates 100% travel, including air travel as required by job responsibilities. The schedule will typically involve ten (10) days of work followed by four (4) days off.

Management Skills

Utilize strong analytical skills and a comprehensive understanding of the organization to address emerging challenges and propose improvements.

Knowledge and Skills

Possess advanced knowledge of the organization, industry standards, and relevant functional disciplines. Familiarity with Microsoft software is preferred.

Physical Demands

This role involves standing, walking, sitting, and the ability to lift up to 25 pounds. Interaction with coworkers, residents, and vendors is essential, with potential exposure to various health and safety risks.
