Compensation:

$60,000 - $70,000 annually

Key Responsibilities:
  • Administrative Support: Assist in organizing attorney communications, updating records and databases, preparing and documenting detailed minutes for team meetings, editing organizational documents, managing the Owner's essential personal appointments, and aiding with state and/or city licensing requirements.
  • Communication and Correspondence: Act as a liaison for team members, manage the CEO's email correspondence, and prepare various communications, presentations, and reports.
  • Office Management: Oversee the procurement of office supplies, maintain inventory levels, and ensure the office is well-organized and equipped according to budgetary guidelines.
  • Team Development: Organize quarterly team-building activities, cultivate professional relationships with senior staff, and conduct research to support ongoing improvement and engagement.
  • Event Coordination: Plan and coordinate events (including catering and menus), schedule appointments, create reminders, and manage internal and external meetings to ensure seamless operations while overseeing marketing projects as necessary.
  • Travel Coordination: Handle all aspects of travel arrangements for the team, ensuring that all trips are efficiently organized and compliant with the firm's travel policies.
Qualifications:
  • High school diploma required; some college education or an associate's degree preferred, or equivalent experience in a similar role.
  • A minimum of 3 years of experience as an Executive Assistant or in a comparable administrative position supporting C-Suite or Senior Leadership.
  • Exceptional organizational and time-management capabilities.
  • Experience managing confidential information and adhering to strict deadlines.
  • Valid Driver's license and reliable transportation required.
  • Strong communication and interpersonal skills.
  • Ability to multitask and prioritize effectively.
  • Proficiency in Microsoft Office Suite, including Outlook, PowerPoint, Word, and Excel.
