Overview

The Department of Emergency Medicine at Stanford University School of Medicine is seeking an exceptional Administrative Associate III to provide high-level administrative and operational support. This role will play a critical part in facilitating communication among faculty members and staff, coordinating academic affairs projects, and providing calendaring and administrative support to the Vice Chair for Academic Affairs.

About the Position
This individual will be responsible for handling a multitude of tasks to support departmental academic affairs efforts, including special projects. They will act on behalf of the supervisor, department manager, or chair in establishing priorities and resolving administrative problems. The person in this role will also oversee and/or perform duties associated with scheduling complex conferences, seminars, and events, composing documents and correspondence, and creating reports and spreadsheets using specialized software and systems.

Duties and Responsibilities
  • Provide high-level administrative support to the Vice Chair for Academic Affairs and other senior administrators.
  • Coordinate and monitor routine maintenance services completion, plan and coordinate office moves and/or minor renovation projects.
  • Oversee and/or process financial transactions, produce budget statements, and reconcile discrepancies.
  • Act as liaison between faculty, staff, and external organizations, ensuring effective communication and coordination of academic affairs projects.

Requirements and Qualifications
We are looking for a highly organized and detail-oriented individual with excellent communication skills, who can work well under pressure and prioritize multiple tasks simultaneously. Prior experience working at Stanford University or in higher education is strongly preferred. The ideal candidate will possess advanced computer skills, proficiency in office software and email applications, and the ability to independently compose/draft correspondence on behalf of the department leadership.

Stanford University offers a comprehensive rewards package, which includes competitive compensation, paid time off, and access to world-class benefits. The estimated salary range for this position is $83,132 to $94,508 per year, based on a 40-hour workweek and a 12-month appointment.
