Program Coordinator

We are seeking an experienced Program Coordinator to join our team at Vermont Law School. This is a full-time, non-exempt position that requires a regular presence on our South Royalton campus.
**Job Description:**
This role involves providing administrative support to faculty teaching courses, organizing events, and representing key departments to students and across the campus. The successful candidate will be responsible for ensuring departmental efficiency by keeping a pulse on student, faculty, and organizational needs. This includes managing budgets, scheduling events, maintaining office supplies, sending emails to diverse audiences, surveys/polls, tracking program data, and other requests as needed.
The ideal candidate will have excellent organizational and calendar management skills, with the ability to maintain recordkeeping systems and procedures. They should possess excellent written and oral communication skills, as well as program planning and implementation skills. Proficiency with basic budgeting software and knowledge of budgets and cost estimating and processing is also essential.
Key Responsibilities:
- Provides administrative support to faculty teaching courses, including compiling materials, conducting internet searches, managing spreadsheets, and scheduling events.
- Organizes events, including logistics, stipends, and coordinating housing for Summer Series faculty.
- Develops relationships and collaborates with colleagues across institutional departments, including marketing and communications, admissions, the registrar, and career services.
- Maintains all mailing lists, updating student email lists, partner organization lists, alumni email lists, and faculty email lists.
- Interfaces with current and prospective students and collaborates in student services and activities.
- Maintains basic financial records, processes payment vouchers, and manages day-to-day budget processing.
Requirements:
- A degree is desirable but not required; 3-5 years of professional administrative experience could serve as a substitute for a degree.
- Demonstrated experience working with diverse groups of people.
- Excellent organizational and calendar management skills.
- Ability to maintain recordkeeping systems and procedures.
- Excellent written and oral communication skills.
- Program planning and implementation skills.
- Ability to gather data and compile information.
- Solid computer skills, preferably in a PC, Windows-based operating environment; experience with Microsoft Office (365) applications, virtual work environments, and social media applications.
