Responsibilities:
Provide essential marketing assistance to the sales team to ensure the effective execution of sales and marketing initiatives. Support the community in alignment with established marketing and business strategies.
Utilize sales processes and systems to perform job functions, track information, compile data, and achieve community revenue objectives.
Offer administrative support to the Sales Department and participate in daily sales meetings.Maintain regular communication with the community sales leader and other key associates regarding prospective move-ins. Utilize sales systems to document pre-residency activities and facilitate communication.
Act as a liaison for new residents by coordinating the move-in process efficiently and warmly, as needed.
Ensure the completion of necessary paperwork, including care plans, residence preparation, mover scheduling, and community support. Prepare for new residents by setting up essential services and coordinating with maintenance for unit readiness.Collaborate with the community sales leader to identify units for the sales pipeline and assist in organizing events for lead generation and advancement.
Ensure the sales office is well-stocked with marketing materials and move-in packets. May request and order marketing resources through company systems.Represent the community and enhance visibility through participation in external events and professional groups as directed by the community sales leader.
Utilize community knowledge and research to assist in planning and executing monthly prospect and referral source activities as outlined by the community marketing plan.
May handle phone inquiries, serve as a backup for Sales, and log leads in the sales management system.
Maintain the office's performance board and prepare data for reporting. Provide sales performance metrics to the community sales leader.Keep abreast of the lead management system and input sales and marketing activities promptly and accurately. This job description provides an overview of the responsibilities for this position and is not intended to be an exhaustive list of duties. Qualifications:
Education and Experience: A high school diploma or General Education Degree (GED) is required.
A minimum of one year of administrative experience is necessary, preferably in the retirement, hospitality, or healthcare sectors, with a strong emphasis on customer service.
Additional education may substitute for years of experience. Certifications, Licenses, and Other Special Requirements:None Management/Decision Making:
Exercises limited independent judgment to make decisions based on established guidelines. Utilizes standard procedures to solve problems and knows when to escalate issues to a supervisor.
Knowledge and Skills:
Possesses a working knowledge of relevant skills and disciplines requiring basic analytical abilities. Understands the work environment and processes. Ability to greet staff and visitors courteously. Familiarity with Medicare and Medicaid regulations, if applicable. Ability to effectively listen and communicate both verbally and in writing. Capable of managing time, tasks, and projects in a dynamic setting. Ability to build trust and maintain honest relationships. Capable of assessing and understanding customer expectations and needs. Ability to work effectively with diverse personalities and treat individuals with dignity and respect. Proficient in using personal computers and related software, including Microsoft Office applications. Ability to learn and operate the customer relationship database. Proficient typing skills.
