Position Overview:
The Automotive Inventory Specialist is essential in overseeing and ensuring precise documentation of both new and pre-owned vehicles within the dealership's inventory management system. Key responsibilities encompass executing physical inventory counts, tracking vehicle movements, entering vehicle data into the system, and guaranteeing proper documentation for each vehicle. Collaborating with various departments such as sales, service, and finance is vital to facilitate smooth vehicle transactions and maintain an orderly inventory lot and showroom, enhancing the customer experience. This role demands meticulous attention to detail, exceptional organizational capabilities, proficiency in inventory management software, and effective interdepartmental communication.
KEY RESPONSIBILITIES
- Oversee and uphold accurate records of all new and pre-owned vehicles in the dealership's inventory management system.
- Conduct routine physical counts and audits of vehicle inventory to resolve discrepancies.
- Track vehicle movements, including incoming deliveries and outgoing sales.
- Accurately enter vehicle details, such as VIN, mileage, condition, and specifications, into the inventory database.
- Prepare and maintain comprehensive vehicle files containing essential documents like titles, registrations, and service records.
- Generate necessary reports to monitor inventory status, aging, and sales performance.
- Collaborate closely with sales, service, and finance departments to ensure precise and timely processing of vehicle transactions.
- Effectively communicate with team members regarding inventory updates, special orders, and vehicle availability.
- Perform quality inspections on incoming vehicles to confirm they meet dealership standards for display and sale.
- Coordinate with the service department for any required reconditioning or detailing of vehicles.
- Maintain a tidy and organized inventory lot and showroom to present vehicles attractively to customers.
- Ensure proper signage, pricing, and display of vehicles in accordance with dealership guidelines.
Schedule:
Monday: 7 am - 5 pm
Tuesday - Friday: 8 am - 5 pm

- Proficiency in utilizing inventory management software or dealership-specific systems (e.g., Era, Vauto, Rapid Recon).
- Excellent organizational and time management skills with the ability to prioritize tasks effectively.
- Strong communication and teamwork skills to collaborate across departments within the dealership.
- Familiarity with automotive terminology, vehicle specifications, and basic mechanical knowledge is beneficial.

- Adequate visual acuity to inspect vehicles for damage, verify vehicle identification numbers (VINs), and read small print on documents.
- Manual dexterity and hand-eye coordination for tasks such as operating inventory management software, handling paperwork, and maneuvering vehicles safely in tight spaces.
- Ability to climb ladders or steps to access inventory shelves or inspect vehicles stored at elevated levels.
- Stamina and physical fitness to sustain repetitive tasks, such as walking the inventory lot, conducting vehicle audits, and assisting with vehicle transports when necessary.
- Safe driving skills if required to operate dealership vehicles for short distances within the premises, such as moving vehicles for display or service purposes.
