Position Overview

The Financial Operations Specialist plays a crucial role in managing the financial transactions of the organization. This position is essential for overseeing accounts receivable and accounts payable, as well as handling journal entries and processing invoices from customers and vendors.

Key Responsibilities:

  • Ensure timely and accurate payments by receiving, processing, verifying, and reconciling invoices.
  • Record and post vendor invoices in line with company protocols.
  • Verify and reconcile processed work by comparing system reports to financial balances.
  • Prepare, post, and verify customer payments and transactions related to accounts receivable.
  • Generate invoices following company guidelines and distribute them to customers.
  • Maintain and update customer records, including changes in names, addresses, and other relevant information.
  • Create reports on the status of customer accounts as required.
  • Investigate customer discrepancies and manage past-due accounts.
  • Organize and retrieve documents for accounts receivable as necessary.
  • Address and resolve any irregularities or inquiries promptly.
  • Preserve historical records by digitizing documents.
  • Ensure timely collection of outstanding balances from customers by providing necessary support.
  • Deliver exceptional customer service to enhance client relationships.
  • Communicate any changes in information to relevant team members.
  • Safeguard the organization’s integrity by maintaining confidentiality of sensitive information.
  • Contribute to the overall accounting and organizational objectives by completing assigned tasks.

Qualifications:

  • High School Diploma, Associate's Degree, or equivalent experience preferred.
  • A minimum of two years of experience in accounting or a related financial field is required.
  • Experience in a manufacturing setting is advantageous.
  • Proficiency in QuickBooks is highly desirable.
  • Strong command of Microsoft Office Suite is essential.
