The Office Manager provides advanced administrative support to Common Ground Resource Center. This position is crucial in the management of administrative information.

Key Responsibilities:

  • Answer general questions, take and relay messages on all incoming calls as needed, in a timely manner.
  • Greet and welcome all clients and guests at the Common Ground Resource Center, and assist as needed.
  • Attend all required meetings, taking minutes as assigned.
  • Act as the Executive Assistant to the Founder/CEO.
  • Schedule times and locations for any groups, meetings, classes and/or events.
  • Manage office inventory and send order requests as needed.
  • Manage incoming mail for Common Ground Resource Center Staff.
  • Skilled with PowerPoint, operating audio equipment at monthly Town Hall meetings, and any other events that need assistance.
  • Facilitate delivery of client drop off items.
  • Prepare refreshments for meetings as required.

Requirements:

  • High School Diploma/GED required; AA Degree preferred.
  • Minimum two years of Secretarial/Administrative Assistant experience (in a mental health or social services environment is preferred).
  • Advanced skills in Microsoft processing/database/spreadsheets/systems and integrating the advanced skills to produce complex reports and documents.
  • Possess computer skills in Microsoft Word, PowerPoint and Excel for Windows.
  • Possess a basic knowledge of all office equipment, including fax, scanning and copy machines, and a willingness to attend appropriate classes to increase knowledge as needed.
  • Respect for the confidentiality of all communications required within job duties, including client/employee records and documents, and electronic transmission by voice, data, and wire.
  • Maintain appropriate boundaries with clients as outlined in Agency Code of Ethics, Relationships with Clients, Former Clients, and Notification Requirements.

Estimated Salary: $45,000 per year

Working Conditions:

The employee may be required to exert 21 to 50 pounds of force occasionally, or 11 to 25 pounds of force frequently, or greater than negligible up to 10 pounds of force constantly to move objects. Job duties also require about 6 or more hours of intermittent standing or walking in an 8-hour workday. Sitting may be required only intermittently and occasionally. Stooping is usually required frequently.

The employee will work indoors, sometimes in warm or humid / cool temperatures, depending on the season. This may result in bodily discomfort. The facility itself is open and ventilated well with central heat and air conditioning. The person may occasionally work outside in heat/cold, wet/humid and dry/arid conditions.

Work Expectations:

  • Minimum of 40 hours per week.
  • Must be able to work well with other staff and clients.
  • Some travel required.
