JOB TITLE: Vision Care Technician / Medical Office Coordinator

REPORTS TO: Store General Manager

FLSA STATUS: Hourly; Non-Exempt

POSITION PURPOSE:

The primary responsibility of the Vision Care Technician is to support the Managing Optometrist in both the technical and administrative functions of an optometric practice. This position will engage with patients/customers to deliver an exceptional experience, enhance patient/customer loyalty, and promote outstanding satisfaction among associates and doctors.

VISION CARE TECHNICIAN

The Vision Care Technician is integral to the optometric practice. Responsibilities include utilizing computerized medical office software, managing administrative office tasks, processing health insurance claims, and transcribing medical reports and tests.

The role of a Vision Care Technician may encompass skills of a medical office coordinator, medical billing and collections, appointment scheduling, or medical records management alongside direct patient care.

ESSENTIAL DUTIES AND RESPONSIBILITIES:

Clinical Duties:

  • Collecting patient medical histories
  • Preparing patients for examinations
  • Conducting tests such as measuring intraocular pressure and visual acuity, and operating equipment during exams
  • Assisting doctors throughout the examination process
  • Facilitating the ordering of glasses and contact lens supplies
Administrative Responsibilities:
  • Welcoming and directing patients
  • Managing telephone communications
  • Updating and maintaining Electronic Medical Records
  • Verifying and obtaining insurance authorizations
  • Adjusting schedules for priority patients
  • Coordinating appointment bookings
  • Processing insurance claims
  • Handling patient and insurance billing
  • Managing optometric medical billing and coding
  • Overseeing vision insurance billing and coding
  • Handling accounts receivable and payable
  • Performing bookkeeping tasks
  • Promoting and selling glasses and contact lens supplies
TRAVEL REQUIREMENTS:
  • No travel required.
QUALIFICATIONS: Experience, Competencies, and Education:
  • Ability to communicate enthusiastically and clearly to meet or exceed customer expectations while fostering positive relationships with associates, doctors, and patients.
  • Capability to manage priorities through adaptability, a willingness to take calculated risks, and effective follow-up.
  • Experience with personal computers is preferred.
  • Valid State Driver's License and State Minimum Insurance coverage.
  • High school diploma or equivalent, or comparable experience typically achieved with a minimum of 1-2 years in a retail environment. Certifications may be required.
