Your strengths include organizing, prioritizing, and following through on multiple time-sensitive projects. You are adaptable, creative, and take initiative in emergency situations.

Required Qualifications

We are looking for candidates who are:

  • A collaborative, detail-oriented, and analytical professional.
  • Possessing 3+ years of experience in accounting and budgeting.
  • Holding a Bachelor's degree in accounting or finance.
  • Proficient in QuickBooks, Microsoft Excel (including v-lookup, sums, etc.), and Google Sheets.
  • Experienced in nonprofit and grant compliance.
  • Knowledgeable in federal/state billing processes.
  • Familiar with reimbursement regulations for State and Federal (DOJ and HHS) funding.
  • Capable of interpreting contract and grant requirements.
  • Skilled in preparing reimbursable invoices, including research and validation of program expenditures and purchase orders (POs), performing calculations, and compiling supporting documentation.
  • Equipped with excellent written and verbal communication skills.
  • Adaptable to a fast-paced, frequently changing work environment.
Key Responsibilities

Reporting directly to the Senior Fiscal Manager, you will play a crucial role in invoicing our funders for revenue reimbursement. This position will serve as a liaison between internal and external partners, overseeing and managing several state and locally funded grants.

Your responsibilities will include:

  1. Understanding grant contracts and invoicing requirements to ensure compliance with federal, state, and local regulations.
  2. Preparing reimbursable invoices for various funders, conducting research and validation of program spending and purchase orders (POs), performing calculations, and compiling all necessary documentation.
  3. Conducting financial analysis and expense forecasting to ensure successful grant spenddown.
  4. Planning and forecasting headcount expense allocations among multiple grants.
  5. Performing regulatory and compliance research as needed.
  6. Preparing and presenting grant budget statuses at monthly and quarterly meetings as directed by the Senior Fiscal Manager.
  7. Monitoring and reviewing subrecipients' budgets and invoices.
  8. Acting as a trusted resource, providing internal clients with data-driven management and financial analysis across the organization.
  9. Reviewing contracts and service agreements to comprehend billing requirements and deliverables.
  10. Completing functional timesheets by assigned deadlines in compliance with time allocations.
  11. Creating and maintaining documentation of processes and procedures related to job duties.
  12. Performing additional duties as assigned.
Work Environment

This position offers a hybrid work model, with a balance of on-site and remote work as agreed upon with your supervisor. You will be expected to be available on-site as necessary based on business needs. The role may require standing for extended periods and performing physical activities, including lifting up to 25 pounds. You should be prepared to manage frequent interruptions and multitask effectively under stress. Local travel may be necessary.

Compensation and Benefits

The salary range for the Financial Reimbursement Coordinator is $70,000-$80,000, depending on experience.
