Job Summary

Vanderbilt University is seeking a highly skilled and detail-oriented Program Support Specialist to join the Office of Health Sciences Education. This role will provide administrative support for the Master of Public Health (MPH) degree program, ensuring the smooth operation of daily activities.

About the Role

The Program Support Specialist will be responsible for coordinating events, scheduling meetings, and maintaining accurate calendars. They will also assist with academic and operational support, including updating documents, distributing materials, and processing reimbursement requests.

Key Responsibilities

  • Act as the first point of contact for the MPH office, receiving and directing visitors, deliveries, and mail, while providing excellent customer service to students, faculty, and staff.
  • Coordinate routine repair requests, maintain current and accurate calendars, and field reservation requests from students, faculty, and staff.
  • Provide administrative support for various meetings and events, including room scheduling, facilities coordination, A/V setup, catering, travel arrangements, and visitor itineraries.
  • Assist with academic and operational support, including updating and distributing documents, annual catalog revisions, and alumni surveys.
  • Process reimbursement requests, purchase orders, and OneCard transactions in compliance with Vanderbilt University policies and guidelines.

Requirements

  • An associate's degree is required; a bachelor's degree is preferred.
  • Consistently pleasant greeting style and friendly, helpful nature.
  • Strong attention to detail and accuracy.
  • Excellent computer skills, specifically proficiency using Microsoft Office Suite (Word and Excel).
  • Excellent verbal and written communication skills; strong interpersonal and customer service skills.
  • Ability to plan, develop, and coordinate multiple projects.
  • Ability to maintain confidentiality of records and information.

Estimated Salary Range: $45,000 - $60,000 per year, depending on experience and qualifications.
