Position Overview:

The Patient Service Specialist I plays a crucial role within the administrative team, executing essential daily tasks to facilitate seamless operations in the medical practice.

This role requires a commitment to professionalism and a positive demeanor when interacting with patients, whether in person, over the phone, or through electronic communication.


Key Responsibilities:
  • Manage incoming calls and direct them appropriately; take messages and ensure timely follow-up, guaranteeing that the relevant physician or staff member receives the necessary information.
  • Provide general information to callers and deliver authorized medical advice as permitted by a healthcare provider.
  • Deliver exceptional customer service to both new and existing patients.
  • Create patient records and document communications in the electronic medical record (EMR) system.
  • Schedule patient appointments and necessary tests as requested.
  • Register patients in the EMR, verifying demographic information and obtaining accurate health insurance details.
  • Conduct eligibility checks to confirm accurate insurance representation.
  • Collect required co-pays and any outstanding balances from patients.
  • Follow scheduling protocols and coordinate patient visits across various practices as needed.
  • Engage in pre-visit planning for upcoming appointments, including insurance eligibility verification.
  • Obtain prior authorizations and insurance referrals as required.
  • Conduct outreach to designated patient groups for care and quality measurement initiatives.
  • Schedule specialty appointments and testing as necessary.
  • Perform administrative tasks in the EMR system as directed.
  • Communicate supply needs to management and assist with ordering supplies.
  • Follow up with providers regarding missing documentation and create claims in the EMR.
  • Work on assigned revenue cycle tasks as directed.
  • Maintain confidentiality and adhere to organizational policies.

Qualifications:
  • Demonstrated excellence in customer service.
  • Strong communication and interpersonal skills.
  • High School Diploma or equivalent is required.
  • Preferred experience includes one to three years in a medical office setting.
  • Familiarity with EMR systems is strongly preferred.
  • Proficiency in Microsoft Office Suite, including Word, Excel, and Outlook.
