This pivotal role is designed to deliver exceptional administrative support to Financial Advisors, their current and prospective clients, and fellow branch personnel.
The ideal candidate will possess strong communication abilities across various channels (phone, email, in-person, virtual) and will be adept at organizing, managing, and tracking numerous detailed tasks and assignments in a dynamic, fast-paced environment.
Key Responsibilities
• Act as the primary contact for a high volume of daily interactions, addressing inquiries, providing quotes, and scheduling meetings with clients through multiple communication methods.
• Collaborate both independently and within a vibrant team to offer essential support to financial advisors and the branch office.
• Facilitate the onboarding of new clients, open accounts, and conduct research on client and security information utilizing internal systems.
• Ensure that all client information and documentation comply with firm and industry standards.
• Oversee the transfer of assets, ensuring successful receipt of all assets and cost basis.
• Monitor available cash awaiting investment and engage clients with opportunities to optimize returns.
• Review and respond to corporate action items and client account alerts.
• Prepare financial reports, spreadsheets, and other materials for client meetings.
• Input orders and adjust portfolios on behalf of Financial Advisors.
• Maintain accurate records using Client Relationship Management (CRM) software.
• Assist Financial Advisors with marketing initiatives, including seminars and client events.
• Participate in training and professional development opportunities to stay informed on firm and industry policies.
• Perform additional duties as assigned.
Qualifications
• Knowledge of the company's structure, policies, and mission.
• Familiarity with managed account platforms and general office practices.
• Understanding of investment concepts and industry regulations.
• Proficiency in CRM software and Excel for reporting and analysis.
• Ability to manage multiple tasks with shifting priorities in a fast-paced environment.
• Strong problem-solving skills and a commitment to providing high-quality customer service.
Education and Experience
• High School Diploma or equivalent with at least one year of experience in the securities industry preferred.
• SIE certification required unless exempted.
• Series 7 and relevant state licenses (Series 63, 65, and/or 66) are necessary.
