Lead Receptionist: Silvergate San Marcos

To ensure that residents, staff, and visitors receive exceptional service and that the reception area operates at a high level of quality at all times.
Key Responsibilities- Assist the Business Office Manager in supervising other receptionists to maintain the highest standards of professionalism and client greeting.
- Lead, monitor, and inspire the front desk team, providing guidance and support.
- Maintain employee name tags and issue new ones as directed.
- Assist the Administrator with grading First Aid tests online and issuing completion certificates.
- Order resident name plates and other necessary items from vendors.
- Enter staff schedules into the payroll system.
- Train other receptionists on handling incoming and outgoing mail and packages.
- Oversee the use, maintenance, and upkeep of standard office equipment, including postage and copy machines.
- Coordinate and order office supplies under the direction of the Business Office Manager, maintaining inventory.
- Update the Resident Safety Check list.
- Assemble new resident files.
- Assist the Business Office Manager with arranging and distributing paychecks and time sheets on payday.
- Receive rent checks, copy, and record payments, then mail to the corporate office.
- Update the resident database system (ALIS) with information from resident files as directed, scanning relevant documents to ALIS.
- Assist the Business Office Manager with billing-related data entry.
- Assist with printing, sorting, and mailing resident monthly invoices.
- Ensure front desk information in binders is up-to-date and efficiently passed on to other receptionists.
- Perform other clerical duties as assigned.
- A high school diploma or general education degree (GED); one to three months of related experience and/or training preferred.
- Fluent in speaking, reading, and writing English.
- Proficient in computer skills, including database software and Microsoft Office.
- Strong communication skills and proficient math and analytical skills.
- Excellent customer service skills.
- Excellent time management and organizational skills.
- Ability to prioritize and multitask.
- Ability to respond effectively in an emergency or crisis situation.
This position requires the ability to bend, squat, stoop, climb, kneel, stand for extended periods, and sit for extended periods, as well as the ability to lift and carry up to 10 pounds.
Special Requirements- Must pass a background check.
- Must pass a drug test, pre-employment physical, and TB test.
