Job Overview

Rubino & Company, Chartered is seeking a highly organized and detail-oriented individual to join our Tax department as an Administrative Support Specialist. This role plays a vital part in ensuring the efficient operation of the team by handling essential administrative tasks with accuracy and professionalism.

Job Description

The successful candidate will be responsible for preparing engagement letters, processing tax return paperwork, and e-filing returns. They will also answer phone calls, schedule appointments, create correspondence, memos, and emails, and assist with client intake information.

  • Key Responsibilities:
  • Create and process client mail merges and mailings
  • Assist with invoicing and billing
  • Maintain office equipment, space, and supplies
  • Provide backup for the Receptionist
  • Perform other duties as assigned

The ideal candidate will possess strong organizational skills, excellent communication abilities, and a keen attention to detail. They will work efficiently in a fast-paced environment, multitasking in a deadline-driven setting while maintaining a positive and professional demeanor at all times.

Requirements and Qualifications

To be considered for this position, applicants must have a minimum of two years of relevant experience and a High School Diploma or equivalent. Proficiency in MS Office Suite, Outlook email, and Internet usage is required, as well as the ability to quickly learn new applications.
