Front Desk Assistant

We are seeking a highly organized and detail-oriented Front Office Assistant to join our team at Children's of Alabama. As a key member of our front office staff, you will play a critical role in ensuring a positive patient experience.
Key Responsibilities:
- Greeting Patients: Welcome patients and their families upon arrival, ensuring a warm and welcoming atmosphere.
- Scheduling Appointments: Schedule appointments for patients and keep physicians informed of any changes in the schedule.
- Telephone and Messages: Answer telephone calls and take messages for physicians, ensuring prompt communication.
- Consult Scheduling: Schedule consults for physicians and communicate with potential new patients regarding appointments, insurance, and policies.
- Record Keeping: File incoming reports, records, and lab work, and fill out necessary forms.
- Patient Chart Management: Pull and stamp patient charts as needed, confirming accurate patient information.
- Computer Entry: Enter name and address changes into the computer system and copy current insurance cards.
- New Patient Charts: Secure parent/guardian signatures and prepare new patient charts for entry into the system.
- No Show Calls: Calls all No Show appointments and notes them on the chart.
- Charge Tickets: Run charge tickets and place them on the chart, then return it to the physician's assistant.
- Prescriptions and Excuses: Write doctor's excuses for school/work as directed by the physician and call in prescriptions as requested.
- Scheduling Lab Work and X-Rays: Make appointments for lab work, x-rays, and other physicians/specialists.
- Referrals and Records: Determine if a referral is needed and complete any necessary insurance referrals, copying patient records to be sent to new physicians.
Requirements:
- A high school diploma/GED is required.
- Experience in medical office or healthcare administration is essential.
- Prior experience in pediatrics, primary care, or specialty services is preferred.
