Overview:
The Community Lifestyle Coordinator is responsible for organizing and managing social activities within the community, reporting directly to the Property Manager.


This role involves delivering exceptional service that aligns with the core values and mission of the Castle Group.

The individual will carry out all duties while exemplifying superior customer service skills reflective of Castle Royal Service, collaborating effectively with both internal teams and external stakeholders.



Key Responsibilities:
(Responsibilities may include some or all of the following)

Collaborate with the Property Manager to schedule annual special projects and maintain the Club House.

Partner with the Social Committee chairperson and Board liaison to plan and execute community events.


Oversee the planning, coordination, and implementation of all Association-funded events and shows, which includes budgeting, ticket sales, scheduling venue use, facilitating preparations (set-up, execution, and breakdown), and procuring necessary supplies.

Attend all events and shows supported by the Association.

Participate in additional shows and events as needed, in coordination with the Social Committee.


Engage with talent and travel agents, attending local showcases to evaluate potential events for the community.

Curate a selection of events and classes for the annual calendar.


Must possess the confidence to speak publicly, providing updates on community social events during board meetings and introducing various events.

Disseminate the social calendar electronically and within the Club House.

Negotiate contracts related to shows, workshops, classes, and other entertainment forms.


Generate printed materials for distribution, including performer biographies, event synopses, and promotional materials for events and classes.


Maintain comprehensive and up-to-date records for all events, including copies of all relevant items such as performer bios, contracts, flyers, tickets, and critiques.


Ensure accurate financial documentation for all events, including submitting requests for checks and petty cash, reconciling ticket sales, completing deposit slips, and tallying total costs for tax submissions.

Edit and produce the Community Association Newsletter, seeking advertising opportunities.

Keep precise financial records related to the newsletter.

Update the community access channel.

Prepare reports for inclusion in various management documents.

Draft articles for association publications, including electronic communications.

Act as the management representative for the Social Committee, Calendar Group, and Club Advisory Committee.

Ensure adherence to safety protocols while performing job duties.

Fulfill any additional responsibilities as assigned by the supervisor.

Qualifications:

Education/Training/Certifications/Licenses:
A high school diploma or equivalent is required; an Associate's degree in business or hospitality is preferred.

Experience/Knowledge/Skills:
Three to five years of relevant business experience is preferred, particularly in event planning. Strong customer service, communication, and interpersonal skills are essential. Effective written and verbal communication abilities are required.

Computer Skills:
Intermediate proficiency in computer hardware and software is necessary, specifically with Microsoft Windows, Word, Excel, PowerPoint, Publisher, and Outlook. Experience in website maintenance is advantageous.

Language Skills:
Fluency in multiple languages is desirable but not mandatory.

Travel and Availability:
Occasional travel for training sessions may be required. Flexibility to cover for staff at other communities within a reasonable commuting distance may also be necessary.

Physical Requirements:
Ability to lift up to 50 lbs; capacity to work in an upright or seated position for extended periods.

Must be able to handle, grasp, and lift objects; extensive use of fingers for typing and visual engagement with computer monitors is required.

Reach with hands and arms, and communicate effectively through spoken and written means. Ability to navigate the property/building efficiently to fulfill job functions. Complete all necessary documentation.
