Job Summary

We are seeking a highly organized and detail-oriented Benefits and Payroll Specialist to join our team at City National Bank of WV. The successful candidate will provide administrative support to the Benefits and Payroll Departments, with a focus on leave administration and timekeeping.

Key Responsibilities
  • Process all leave of absence (LOA) and accommodation requests
    • Administer FMLA and City Leave, including determining eligibility, sending and tracking required forms, and communicating with payroll, benefits, employees, managers, and HR representatives
      • Maintain employee records in HRIS software through accurate and timely processing of leave case management and notify the Help Desk and payroll when leaves begin and end
        • Track, bill, and collect insurance premiums from employees on leave when premiums are not deducted through payroll
          • Send claims funding requests to Accounting each Wednesday, notify the Benefits Assistance Corporation and Benefits Manager when complete, and save files with information for future reference
            • Make deposits of check payments received from our medical TPA for COBRA, reinsurance, and refunds and employees on leave
              • Administer workers' compensation programs, receive and track employee accident reports, send claims to workers' compensation carriers in a timely manner, communicate with employees and workers' compensation carriers to clarify/answer questions as needed, and file OSHA annual reports
                • Participate in annual workers' compensation audits
                  • Provide annual budget reports for workers' compensation premiums
                    • Send proper forms to employees requesting AIB and/or tuition loan forgiveness, forward information received to the Benefits Manager for approval for payment, and follow up with employees to obtain grades at the end of each semester
                      • Prepare short-term disability pay information for disability carriers for employees beginning leave
                        • Take minutes of quarterly health and welfare and 401(k) committee meetings
                          • Maintain employee benefit files in HRIS software
                            • Cross-train for E-Time
                              • Assist employees with benefits and payroll questions and concerns, direct them to appropriate resources as applicable
                                • Assist with annual benefits open enrollment
                                  • Assist with gathering data for auditors for health and welfare plans and retirement plans
                                    • Organize flu shot visits for the Operations Center annually
                                      • Maintain the highest level of confidentiality in all employee matters
                                        • Verify 401(k) deduction changes from record keepers match deductions imported to HRIS
                                          • Serve as a backup to the Benefits Manager & Payroll Specialist II
                                            • Make photocopies, mail, scan, and email documents, and perform other clerical functions

Requirements

  • High School Diploma or equivalent; job-related Certificate or Degree preferred
    • One to three years of employee benefits experience required; experience in an HRIS environment preferred
      • One to three years of payroll experience in HRIS/Payroll software required; experience with current HRIS/Payroll provider (ADP) preferred
        • Work is generally performed indoors in environmentally controlled conditions
          • Typically the employee may sit to perform the work. However, there may be some standing, walking, bending, and carrying of light items in the course of the work
