Key Responsibilities
As the Administrative Assistant for Tax and Assurance Services, your role will encompass providing essential support to the tax and assurance divisions, including but not limited to:
- Compiling and dispatching tax returns, notifications, and various tax-related documents.
- Generating client copies of tax returns in both electronic and hard copy formats.
- E-filing client tax returns.
- Preparing and delivering client engagement letters in electronic and hard copy formats.
- Creating assurance-related reports for client delivery (both electronic and hard copy).
Additionally, you will provide general administrative support, which includes:
- Typing and formatting documents.
- Ensuring compliance with company standards (language/templates, etc.).
- Converting PDF documents into properly formatted Word documents.
- Scanning documents.
- Assisting with meeting coordination.
- Managing incoming mail/packages and overseeing the dispatch of outgoing mail, certified mail, and FedEx.
- Assisting with expense report preparation as needed.
- Performing backup receptionist duties (including answering phones, welcoming guests, preparing meeting spaces, etc.).
- Carrying out various other tasks as assigned.
Qualifications
Candidates must possess the following qualifications:
- An Associate's or Bachelor's degree in accounting or business management with a minimum GPA of 3.0, or a high school diploma.
- Experience in a similar role within the industry is preferred.
- Familiarity with fundamental accounting principles.
- Proficient technology skills, particularly in Microsoft Office 2016 or later (Word, Excel, PowerPoint, and Outlook; knowledge of Adobe is a plus).
- Ability to manage multiple tasks and work independently with minimal supervision.
- Willingness to work overtime as required, often with little advance notice.
- Strong interpersonal and relationship-building abilities.
- A collaborative team player with a positive attitude.
- Physical ability to move throughout the workday, including standing and sitting, and lifting items not exceeding 20 lbs.
Working Conditions
The role may require moderate overtime throughout the year, with increased demands during specific business cycles.
