Job Overview

As a Center Coordinator, you will serve as a key point of contact for the facility, providing essential administrative assistance throughout the center. The primary focus of this position includes meeting daily staffing and scheduling requirements, overseeing the procurement and maintenance of center supplies, and ensuring that documentation related to center sessions is submitted punctually. Additionally, you will play a vital role in training support related to the principles of Applied Behavior Analysis (ABA), Safety Care, and CPR Certification for both new trainees and existing staff members.

Key Responsibilities
  • Welcome and assist visitors by greeting, directing, and managing check-in and check-out processes.
  • Handle incoming phone calls by screening and forwarding them to the appropriate personnel while providing necessary information.
  • Conduct reminder communications with clients for upcoming appointments.
  • Manage daily mail and deliveries efficiently.
  • Ensure security protocols are followed, including monitoring access and issuing visitor badges.
  • Maintain and update appointment calendars, scheduling meetings as required.
  • Perform various clerical tasks such as filing, photocopying, and data entry.
  • Utilize Salesforce for updating patient and therapist information.
  • Organize and maintain the lobby and waiting areas to ensure a welcoming environment.
  • Coordinate daily staffing schedules in collaboration with the clinical team to ensure appropriate patient care.
  • Assist in the recruitment and onboarding processes for new staff members.
  • Ensure timely submission of session notes and billing documentation.
  • Foster a positive team environment, inspiring confidence and motivation among staff.
  • Maintain compliance with all policies and procedures as outlined in the company manual.
  • Protect patient rights and confidentiality in accordance with HIPAA regulations.
  • Engage in ongoing training and development to stay current with ABA practices.
Required Qualifications
  • High school diploma or equivalent.
  • RBT credential is mandatory.
  • Proven ability to train others in behavior analytic techniques.
  • Familiarity with ABA methodologies and relevant curricula beneficial for children with ASD.
  • Strong organizational skills and the ability to manage multiple tasks effectively.
  • Proficient in using computer systems and software relevant to the role.
Preferred Qualifications
  • Experience in staff scheduling and management.
  • Background in healthcare or related fields is advantageous.
  • Positive interactions with pediatric populations.
  • Proficiency in Microsoft Office Suite.
