POSITION DESCRIPTION

Position Overview:

The Automotive Inventory Specialist is essential in overseeing and preserving precise records of both new and pre-owned vehicles within the dealership's inventory management system. Key duties encompass executing physical counts, tracking vehicle movements, entering vehicle details into the database, and ensuring all necessary documentation is in order for each vehicle. Collaborating with sales, service, and finance teams is vital to facilitate seamless vehicle transactions and maintain an orderly inventory lot and showroom, enhancing the customer experience. This role demands exceptional attention to detail, organizational prowess, proficiency in inventory management software, and effective interdepartmental communication.

KEY RESPONSIBILITIES

  • Oversee and maintain precise records of all new and pre-owned vehicles in the dealership's inventory management system.
  • Conduct regular physical counts and audits of vehicle inventory to resolve discrepancies.
  • Track vehicle movements, including incoming deliveries and outgoing sales.
  • Accurately enter vehicle information, such as VIN, mileage, condition, and specifications, into the inventory database.
  • Prepare and maintain vehicle files with all required documents, including titles, registration, and service records.
  • Generate reports as necessary to monitor inventory status, aging, and sales performance.
  • Collaborate closely with sales, service, and finance departments to ensure accurate and timely processing of vehicle transactions.
  • Communicate effectively with team members regarding inventory updates, special orders, and vehicle availability.
  • Perform quality checks on incoming vehicles to ensure they meet dealership standards for display and sale.
  • Coordinate with the service department for any required reconditioning or detailing of vehicles.
  • Maintain a clean and organized inventory lot and showroom to present vehicles attractively to customers.
  • Ensure proper signage, pricing, and display of vehicles in accordance with dealership guidelines.

Schedule:

Monday: 7 am - 5 pm

Tuesday - Friday: 8 am - 5 pm

  • High school diploma or equivalent required; additional education or training in automotive technology or related fields is advantageous.
  • Demonstrated experience in inventory management, preferably within an automotive dealership environment.
  • Strong attention to detail and accuracy in data entry and record-keeping.
  • Proficiency in utilizing inventory management software or dealership-specific systems.
  • Excellent organizational and time management skills with the ability to prioritize tasks effectively.
  • Strong communication and teamwork skills to collaborate across departments within the dealership.
  • Understanding of automotive terminology, vehicle specifications, and basic mechanical knowledge is beneficial.

  • Ability to lift and move objects weighing up to 50 pounds, such as boxes of vehicle parts or equipment.
  • Capable of standing, walking, and bending for extended periods while performing inventory checks and vehicle inspections.
  • Comfortable working outdoors in various weather conditions, as the job may involve tasks in the inventory lot or showroom.
  • Adequate visual acuity to inspect vehicles for damage, check vehicle identification numbers (VINs), and read small print on documents.
  • Manual dexterity and hand-eye coordination for tasks such as operating inventory management software, handling paperwork, and moving vehicles safely in tight spaces.
  • Ability to climb ladders or steps to access inventory shelves or inspect vehicles stored at elevated levels.
  • Stamina and physical fitness to sustain repetitive tasks, such as walking the inventory lot, conducting vehicle audits, and assisting with vehicle transports when necessary.
  • Safe driving skills if required to operate dealership vehicles for short distances within the premises.

The collaborative setting requires effective communication with sales teams, service technicians, and management, while occasional customer interactions necessitate professionalism and customer service skills. The fast-paced atmosphere of dealership operations demands adaptability, attention to detail, and efficient task prioritization for successful inventory management.
