Position Summary: We are seeking a dedicated Service Coordinator to enhance our customer engagement and support our service operations. This role is pivotal in fostering strong relationships with both internal and external clients while promoting a culture of exceptional customer service among our technicians.
Key Responsibilities:
- Manage incoming service requests from clients, ensuring timely and effective responses.
- Maintain and nurture positive relationships with all customers, contributing to a high standard of service delivery.
- Utilize COINS ERP to input and oversee service requests, customer data, and modifications to service orders.
- Handle billing processes, including invoice generation and charge calculations, ensuring accuracy in all financial records.
- Oversee accounts receivable tasks, including account reconciliation and payment processing, while following up on overdue balances.
- Coordinate the issuance and distribution of Certificates of Insurance (COIs).
- Draft and manage Purchase Orders, tracking all orders efficiently.
- Assist with in-shop repairs and warranty processing to ensure smooth operations.
- Prepare all written communications to clients and vendors related to job responsibilities.
- Engage in training and development opportunities to support personal and organizational goals.
- Collaborate effectively with team members while maintaining a professional work environment.
- Perform additional duties as assigned by management to support overall company objectives.
Qualifications:
- High School diploma or equivalent required.
- 1-2 years of experience in service industry billing preferred.
- Familiarity with commercial and industrial HVAC systems is advantageous.
- Knowledge of products and services relevant to HVAC maintenance and repair is beneficial.
Work Schedule:
- Standard hours are Monday to Friday, 7:30 AM to 4:30 PM, with a one-hour non-billable lunch break.
- Any schedule changes must be approved by management.
