Position Overview:
This role is designed to assist Financial Advisors in managing their daily investment operations while elevating the overall client service experience.
The individual will collaborate closely with Registered Representatives to facilitate client documentation, execute financial transactions, nurture client relationships, arrange meetings, and liaise with clients and financial institutions.
This position serves as an excellent entry point for career advancement opportunities that necessitate industry knowledge and relevant licenses (such as Insurance, FINRA Series 7, & 66 or 63/65 combination).
Available as either a Part-Time or Full-Time role, with hours ranging from 20 to 35 per week.
Key Responsibilities:
- Act as a key intermediary between registered representatives and their clientele.
- Manage phone communications, schedule meetings, and prepare materials for client engagements.
- Assist registered representatives in developing client presentations, including illustrations, graphs, and reports.
- Prepare and finalize client documentation and follow-up tasks to support registered representatives.
- Engage with clients through phone calls, virtual meetings, and in-person visits to ensure their service needs are met.
- Organize client events and manage follow-up activities.
- Maintain client records in accordance with corporate standards.
- Conduct proactive outreach to clients and registered representatives regarding time-sensitive matters (e.g., Required Minimum Distributions, Quarterly/Annual Reviews).
- Take ownership of inquiries and requests, coordinating with internal departments to ensure timely service delivery.
- Educate clients about account services, capabilities, and emerging technologies.
- Complete mandatory corporate training on new technologies and adhere to implementation protocols.
- Collaborate with Advisors in weekly meetings to uphold business planning processes, marketing strategies, and client communication expectations.
Qualifications:
- High School Diploma or GED.
- Experience in an administrative or customer service capacity.
- Strong time management abilities.
- Excellent written and verbal communication skills.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and a willingness to learn new software.
Preferred Qualifications:
- Previous experience supporting Registered Representatives or Financial Advisors.
- Background in financial services or banking.
- Bachelor’s degree in Finance, Business, Marketing, or Communications.
- Attention to detail, exceptional organizational skills, and the ability to multitask in a fast-paced environment.
- Self-motivated, productive, and capable of working both independently and as part of a team.
- Professional demeanor and a friendly attitude, both in-person and over the phone.
- Trustworthy and discreet with confidential information.
- Strong listening skills and the ability to retain important details.
Compensation:
The base hourly wage for this position ranges from $20 to $22, depending on various factors including skill set, experience, certifications, and geographic location.
