Job Summary:

The Warranty/Service Administrator plays a critical role in overseeing all activities related to warranty processing, ensuring timely submission of manufacturer and aftermarket warranty claims, and assisting the Service Department in various functions.


Key Responsibilities:
  • Provide exceptional customer service to internal and external customers and vendors.
  • Oversee all activities concerned with warranty processing, including claim submission and follow-up.
  • Take phone calls and perform data entry tasks.
  • Maintain accuracy and timely completion of Service department open RO's.
  • Sort and distribute incoming mail.
  • Maintain receivables schedules.
  • Work closely with a team of technicians, service writers, and supervisors.
  • Learn and understand all current manufacturer and aftermarket warranty policies and procedures.
  • Establish and maintain productive relationships with manufacturers' designated warranty representatives.
  • Review warranty repair orders for proper completion, accuracy, and legibility.
  • Monitor the use of special warranty programs for diagnosis time, straight time repairs, etc.
  • Flag technicians for hours earned on specific operations.
  • Determine and enter applicable labor operation codes, failure codes, and administrative data.
  • Maintain records of all claims submitted, returned, or paid.
  • Cross-train and take on additional responsibilities as assigned.

Requirements:
  • Knowledge and understanding of automotive warranty and policy procedures.
  • Detail-oriented with the ability to read and comprehend instructions and information.
  • Ability to work well with others and be part of a team.
  • Proficiency in Microsoft Office, ten-key, and ability to read vendor catalogs.
  • General accounting knowledge preferred.
  • Ability to communicate effectively, orally and in writing.
  • Valid CA driver's license and clean record.
