Position Overview: The Reception Coordinator plays a crucial role in managing the front desk operations of our medical facility. This individual is responsible for scheduling appointments, checking patients in and out, and handling incoming calls with professionalism. The Reception Coordinator aims to foster a welcoming environment for patients while ensuring exceptional customer service is consistently delivered.

Key Responsibilities:
  • Welcome patients warmly and address their needs in a friendly and accommodating manner.
  • Maintain the Electronic Medical Records (EMR) system with up-to-date patient information.
  • Check in patients upon their arrival, collecting necessary financial, personal, and medical updates, and accurately entering all data into their charts.
  • Adhere to HIPAA regulations to protect patient confidentiality.
  • Schedule follow-up appointments as required.
  • Safeguard and manage the cash box effectively.
  • Organize and maintain patient records, ensuring proper filing and submission of information to the Business Office.
  • Understand insurance benefits to communicate effectively with patients, following company policies regarding collections and financial matters.
  • Collaborate with the Practice Administrator, physicians, and other staff to uphold the integrity and consistency of operations.
  • Ensure compliance with relevant laws, regulations, and company policies.
  • Perform additional duties as assigned.
